We are seeking a motivated and organized Administrative Assistant to join our team full-time. You are detail-oriented, thrive in a fast-paced environment, and have excellent communication and customer service skills. This role is responsible for handling inbound calls, scheduling service appointments, managing administrative tasks, and ensuring a smooth and professional customer experience.

KEY RESPONSIBILITIES:

• Answer incoming phone calls and emails from customers and vendors in a professional manner
• Schedule and coordinate service calls and installations with field technicians
• Maintain up-to-date technician calendars and job schedules
• Create and manage service tickets and documentation in company systems
• Provide administrative support including data entry, recordkeeping, and general office duties
• Assist with generating invoices and tracking billable work
• Communicate clearly with customers, technicians, and internal staff to ensure expectations are met
• Adapt to and perform effectively in a fast-paced, team-oriented environment

QUALIFICATIONS:

• Previous experience in a dispatcher, administrative, or coordinator role (fire/life safety, construction or other service-based industry preferred)
• Strong verbal and written communication skills
• Strong organizational skills and attention to detail
• Comfortable with multitasking and shifting priorities under time constraints
• Proficiency in Microsoft Office (Word, Excel, Outlook) and online tools.
• High school diploma or equivalent required; post-secondary education is a plus
