Project Billing AR Specialist
Position Overview
We are looking for a highly organized Project Billing & Accounts Receivable Specialist. This role is responsible for overseeing customer invoicing, monitoring receivable accounts, administering project-related billing activities, and ensuring compliance with contractual and regulatory requirements. The ideal candidate possesses strong analytical abilities, attention to detail, and experience working in a construction, public works, or project-based environment.
Key Responsibilities
- Manage invoicing and collections activities to ensure timely receipt of payments and maintain healthy cash flow.
- Prepare, review, and submit progress billings for commercial, municipal, and public works projects.
- Monitor project completion percentages and verify billing accuracy against contract requirements.
- Reconcile contract values, approved change orders, and previously invoiced amounts.
- Calculate retention balances and process closeout billings upon project completion.
- Prepare and maintain lien waiver documentation, including conditional and unconditional releases.
- Coordinate certified payroll reporting and prevailing wage compliance for applicable projects.
- Review employee labor classifications, wage determinations, and fringe benefit reporting for accuracy.
- Maintain organized project files and supporting documentation for audits, inspections, and client requests.
- Work closely with project managers and accounting staff to resolve billing discrepancies and payment issues.
- Ensure all financial records, payroll submissions, and project documentation meet contract and regulatory requirements.
- Assist with account reconciliation, reporting, and month-end accounting activities.
Qualifications
- Minimum of 3 years of experience in accounts receivable, project billing, construction accounting, or a similar financial role.
- Experience with certified payroll processing and prevailing wage reporting requirements.
- Familiarity with public works contracts and project-based accounting practices.
- Experience utilizing accounting software such ProContractor, or related financial systems.
- Excellent organizational skills with the ability to manage multiple deadlines simultaneously.
