SUMMARY : Under general supervision of the Program Manager perform responsible secretarial and clerical services related to serving all types of cases and to do related work as required. Requires good work habits including regular attendance and punctuality. Has no supervisory responsibility.

HOURLY RANGE:

  • $19.0074 - $26.7454 per hour

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS : Duties performed in normal office environment, light background noise. An average of 4-5 hours per day is spent making key entries on a computer or typewriter; 4 hours spent on telephone calls, reading, making copies and distributing incoming correspondence which requires walking. About a hour a day is spent filing or locating files which requires stooping or carrying large consumer files. Ability to sit for extended periods of time, operate office machinery requiring manual dexterity for repetitive typing and data entry utilizing computers and typewriters, may transcribe meetings by operating a transcriber using a foot pedal. Considerable use of vision for proofreading correspondence, reports, typewritten documents, computer printouts/screens. Must stoop, lift, reach, carry files, records, supplies to/from work areas. Good oral and written communication skills are required. Occasionally drive automobile.

ESSENTIAL DUTIES AND RESPONSIBILITIES : Job duties and responsibilities are listed in order of importance.

  • Assist Program Manager in maintaining administrative compliance of program.
    • Review IPP/CDERs/AR to be sure the packet is complete when received for Program Manager's review and signature.
    • Review and distribute all Medicaid Waiver Audit Sheets and collect all information as identified on the sheet within the time frames identified.
    • Collect all DS2200S as identified by Medicaid Waiver Team and route as appropriate. Bring problems to Program Manager for correction. Identify areas that may require additional staff training.
    • Review cases transferring into or out of a program for completeness.
    • Review time cards, and travel claims for completeness and accuracy.
    • Review monthly audits for expired reports, keeping Consumer Services Coordinator and Program Manager informed. As directed, assist Program Manager with staff reminders.
    • Sort and distribute mail for vacant caseloads to an assigned Consumer Services Coordinator. Develop tickler for work to be done. Document when assigned visits and documentation on vacant caseloads are completed.
    • Maintain inventory of program's equipment.
    • Coordinate office days and duty day assignments. Provide backup for the duty person.
    • If appropriate prepare and mail monthly FCPP letters.
    • As assigned take minutes of program meetings and collect and provide a wide variety of information to the program to ensure the program runs smoothly in accord with agency policy, procedures and guidelines.
  • Assist staff in maintaining administrative compliance.
    • Purge program files prior to inactivation and closing.
    • Follow-up with program staff on all requests for information from Human Resources/Payroll. Alert staff to Human Resources/Payroll forms that need to be completed.
    • Follow up with CSCs on past due SIR reports.
    • Upon request, update SANDIS
    • Review TCM prior to submission and follow-up on corrections requested.
  • Perform other support duties as assigned.
    • Request outstanding reports to update client file.
    • Respond to request for information. Prepare referral packets as time permits.
    • Maintain daily schedule for Program Manager. Direct people or calls to the appropriate person. Answer as many questions as possible. Deal effectively with anxious or irate callers.
    • Take messages for Program Manager in their absence.
    • Assist Program Manager with correspondence to include on a daily basis: computer key entry, typing error-free correspondence and reports, and preparing documents for mailing. Complete necessary paperwork, reports, etc. on a timely basis.
    • As assigned facilitate CSC's POS requests/POS recalls.
    • Maintain Program Manager's files.
    • Comply with the Agency's Injury and Illness Prevention Plan. Notify Program Manager of any unsafe working conditions.
    • Successfully complete all assignments arising out of the Agency's Performance Contract.
    • Seek to maintain currency and expand relevant knowledge base.

4. On a daily basis maintain an adequate skill level in interpersonal and community relationships.

  • Assure that consumers' rights and dignity are maintained in the provision of services.
  • Handle change well. Is flexible and adaptable in dealing with interruptions, new priorities and new assignments.
  • Comply with agency Personnel Policies and Procedures, and Affirmative Action Plan.
  • Keep Program Manager informed of pending work, work in progress and problems encountered.
  • Perform as a member of a team answering questions, sharing expertise and generally contributing to the harmony of the team. Provide backup to other CST III positions as requested.
  • Maintain good attendance and punctuality.
  • Utilize bilingual skills as able and as necessary.

5. Comply with the administrative requirements of the agency on a daily basis. Complete necessary paperwork, reports, etc. on a timely basis.

  • Use equipment appropriately and keep it in good repair. Keep work area neat and orderly and free from hazards. Observe all safety rules.
  • Update knowledge through readings, briefings, and training.
  • Key enters data into IBM i5 AS400 and SANDIS.
  • Prepare correspondence and reports as needed or assigned on a timely basis.
  • Utilize agency's IT systems as assigned, maintaining security and following agency's protocol and procedures, rules and requirements.
  • Drive vehicle/travel to other offices/locations to pickup, deliver documents and materials as needed or assigned.
  • Organize travel efficiently and effectively.
  • Maintain a safe driving record.

MINIMUM POSITION REQUIREMENTS:

EDUCATION AND EXPERIENCE: High school diploma or equivalent and one (1) year of office clerical work to include key entry of alpha/numeric data and/or skilled production typing/key boarding; and, processing a heavy volume of documents for permanent records.

KNOWLEDGE AND ABILITIES: Knowledge of modern office practices and procedures including business correspondence, filing, and operation of office business machines. Knowledge of word processing equipment. Ability to perform clerical work involving independent judgment, accuracy and speed. Ability to spell correctly, use good English, make simple arithmetical computations. Ability to follow oral and written directions; ability to learn and follow complex office procedures and policies. Demonstrated ability to type/keyboard accurately (40 wpm). Ability to transcribe from voice recorded dictation. Ability to establish and maintain cooperative and effective working relations with others. Good verbal and written communications ability.

OTHER: Full use of an automobile, possession of a valid driver's license and automobile liability insurance for the minimum amount prescribed by law, or ability to provide for independent transportation. Must have and maintain safe driving record.
