Expedition & Enrichment Coordinator

We are looking to hire an Expedition & Enrichment Coordinator to join our team! Reporting to the Sr. Manager of Expedition & Enrichment, you’ll support the Expedition & Enrichment (E&E) Specialist with end‑to‑end personnel administration for Expedition & Enrichment staff, including Expedition Staff, Experts, Photographers, Trip Physicians, and Partner VIP Hosts. This role coordinates all related staff travel and provides administrative and operational support across the Product department, including assistance with Health & Safety standards.
This position works closely with cross‑functional partners to ensure accurate documentation, smooth logistics, and a high standard of operational execution across all TCS product lines.
This is a 1‑year fixed‑term contract position .

What you’ll do:
Expedition & Enrichment (80%)
- Prepare, process, and manage confidential contracts for Expedition & Enrichment staff across all TCS product lines.
- Coordinate logistics for staff, experts, and physicians, including passports, visas, air travel, technology, uniforms, and amenities.
- Track and process staff payments and expenses, escalating questions or issues to the Senior Expedition Staff Manager as appropriate.
- Partner with Product Management to support the accurate preparation and distribution of advance trip materials.
- Maintain complete and up‑to‑date staff records and trip documentation across Salesforce, Smartsheet, SharePoint, and related systems.
- Review and update Expedition Staff and guest‑facing materials to ensure accuracy, consistency, and alignment with current standards.
- Support cross‑departmental communication by documenting and sharing key information from meetings, briefings, and debriefs.
- Participate in trip operations as needed, which may include advance work, guest check‑ins, scouting, or on‑trip staffing support.
- Assist with planning biannual Expedition & Enrichment summits by coordinating schedules, logistics, and collaboration across teams.
Product (20%)
- Support small and ad hoc projects across the Product team as needed.
- Assist with program kickoffs by preparing destination materials and presentation assets.
- Support Health & Safety processes, including tracker setup, document collection, and compliance coordination.
- Provide general administrative support to the Product department.
What you’ll bring:
- At least 1 year of experience in an administrative or office support role.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- Clear and effective written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
- Flexibility and comfort working in a fast‑paced setting.
- Ability to handle sensitive and confidential information with discretion.
- Experience building spreadsheets and tracking expenses.
- Interest in global travel and general knowledge of world geography.
- Strong problem‑solving and critical‑thinking skills.
