POSITION SUMMARY
The Executive Assistant to the Business Office plays a critical role at the intersection of business and operations at Sinai Akiba Academy. This specialized position supports a broad range of financial and administrative operations relating to accounting, human resources, operations and auxiliary programs. As a fundamental member of the Business & Operations team, the Executive Assistant to Business Office is a self-starting, resourceful, and well-organized team player with the ability to work well under pressure, maintain a positive attitude and demonstrate good interpersonal skills working with multiple constituents in the Business and Operations Office Department. The Executive Assistant to the Business Office reports to the Chief Financial and Operations Officer (CFOO) and collaborates and supports all divisions within the Business and Operations Department. This is an on-campus, exempt, full-time position.

ESSENTIAL DUTIES AND RESPONSIBILITIES
General Responsibilities
- Support and manage projects related to Accounting, Finance, HR, Operations, Technology, Auxiliary, legal and school safety
- Coordinate with other departments, manage files, and maintain organized records
- Handle sensitive and confidential information with the utmost discretion and professionalism
- Act as a liaison between the CFOO and other departments or external partners
- Assist the CFOO by being a liaison with various departmental projects in tracking, including managing documentation and reporting progress.
- Manage the CFOO's calendar, scheduling meetings, appointments, and travel arrangements
- Learn, use and apply technology as required by the School. Technology includes, but is not limited to MS Suite, Google Suite, JagNet, Google Workspace, Paylocity, and other school-approved software, as needed.
- Perform other duties and ad-hoc projects as assigned by supervisor and/or Head of School in support of the school's mission
Finance
- Assist with financial analysis, budgeting, forecasting, and other financial tasks as needed
- Assist with the preparation and review of financial reports, presentations, and other documents
- Assist Controller in conducting reconciliation of various bank accounts, as needed
- Assist in identifying cost-saving opportunities and monitoring financial performance
Data Collection and Reporting
- Assist in statistical collection and reporting of Schools data to NAIS, DASL, Cal-ISBOA and any other partnerships
- Coordinate with other departments, managing files, and maintaining organized records.
- Reconcile various registration lists and communicate with each department accordingly
Other/Misc Business and Operations Projects
- Assist with the assembling of new employee orientation folders and the development of other HR related materials
- Oversee and implement the school transportation program including the parent-driver and school bus programs
- Create and oversee the daily Administrator late supervision schedule
REQUIREMENTS AND QUALIFICATIONS
- At least 3 years of high-volume administrative or relevant experience; Bachelor's degree preferred in business administration/accounting/finance
- Excellent verbal and written communication skills
- Detail and process-oriented
- Ability to analyze and manipulate sets of data in spreadsheets and knowledge of database-related functions
- Growth mindset and displays willingness to learn
- Familiarity with accounting principles and must have worked with accounting software in the past
- Ability to work in a fast-paced school environment and adapt quickly as needed
- Ability to work on campus 7:30 AM - 4:30 PM, Monday - Friday, with occasional evenings and weekends
- Proficiency with MS Suite (Excel, Word and PowerPoint) and Google Suite (Mail, Calendar, Docs, etc.) and uploading and downloading digital resources
- Strong organizational skills
- Ability to anticipate departmental needs, multitask, and prioritize accordingly
- Demonstrated ability to collaborate with cross-functional teams and build strong relationships
- Numerically and analytically acute, with an aptitude for numbers
COMPENSATION AND BENEFITS
- Annual Salary Range: $65,000-$80,000

In the spirit of pay transparency we share the base annual salary range for this position: $65,000 - $80,000. Annual base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at SAA are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at SAA, your final annual base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the range mentioned above is the full annual base salary range for the role. Hiring at the maximum of the range is not typical for SAA in order to allow for future and continued salary growth.
