Construction Administrator
Job Summary
A growing construction team is seeking a detail-oriented Construction Administrator to support project operations, billing, documentation, and financial coordination in Anaheim, CA. This direct hire opportunity is ideal for a highly organized administrative professional with strong construction knowledge, excellent communication skills, and the ability to manage changing client requirements with accuracy and confidence. The Construction Administrator will serve as a key point of support for project managers, estimators, field staff, subcontractors, and accounting. This role offers a stable Monday through Friday schedule, hands-on involvement in active construction projects, and the opportunity to work with a collaborative team that values clear communication, strong follow-through, and dependable administrative support. Key Responsibilities - Support construction project administration from bid creation through final invoicing, purchase order tracking, and closeout documentation.- Coordinate AIA contract requirements, billing documentation, invoicing, lien releases, change orders, RFQs, submittals, and project files.
- Communicate regularly with field staff, project managers, subcontractors, clients, and internal teams to keep projects moving accurately and on schedule.
- Assist project managers and senior estimators with scheduling, documentation, contract writing, filing, material ordering, and daily project coordination.
- Review and process construction crew expenses, maintain job costing records, and complete accurate data entry for multiple managers.
- Maintain organized filing systems and ensure accounting, project, and compliance documentation is complete and up to date. Compensation and Benefits - Salary range: $58,000 to $65,000 per year.

- Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m.
- Work location: In person in Anaheim, CA.

Required Qualifications and Skills
- Manage construction billing documentation, AIA invoicing support, purchase orders, lien releases, and change order processing.- Support bid administration, RFQs, submittals, contracts, project files, job costing, and accounting documentation.
- Coordinate daily communication between project managers, estimators, field crews, subcontractors, and clients.
- Maintain accurate data entry, filing systems, expense processing, and project records for multiple managers. - 5 years of construction experience required.
- 3 years of data entry experience required.
- 3 years of Sage 100 experience required.
- Strong understanding of construction invoicing, purchase orders, bidding processes, and project documentation.
- Proficiency with Microsoft Excel required.
- Experience with construction accounting or construction management software strongly valued.
- Excellent verbal and written communication skills, including professional email writing and confident collection calls.
- Ability to interpret changing client billing and compliance requirements and communicate them clearly to internal teams.
- Highly accurate, adaptable, organized, and comfortable managing multiple priorities in a fast-paced construction environment.
- Strong follow-up skills and attention to detail. Preferred Qualifications - Experience with AIA contracts and invoicing.
- Experience supporting senior estimators, project managers, subcontractors, and construction field teams.
- Familiarity with conditional and unconditional lien releases.
- Background in job costing, construction accounting support, or project coordination.
- Ability to quickly learn new client systems, billing procedures, and compliance requirements.
