Executive Manager - Job Description
Reports to: President/Board Chair, CIERA
Work location: Remote
Salary: Hourly Employment Contract. $150-$200/hour. 10-20 hours per week
Position Overview
The Executive Manager serves as the central operational leader for the California Insurance Emergency Response Association (CIERA) – a 501 (c)(6) non-profit, industry member organization, with a mission to provide the California property and casualty insurance industry with resources and support, in order to enhance its effectiveness in fulfilling policyholder commitments following large-scale catastrophic disasters. This role is responsible for coordinating strategic initiatives, managing member and stakeholder relationships, supporting the Board of Directors, and overseeing the planning and execution of major organizational services, including the Annual Meeting, training initiatives, and emergency response coordination.
The Executive Manager ensures smooth day‑to‑day operations, drives organizational priorities forward, and acts as a key liaison between CIERA, government agencies, industry partners, and member organizations.
Key Responsibilities:
Board & Governance Support:
- Prepare for, coordinate, and participate in monthly Board meetings.
- Develop Board slide decks, reports, and briefing materials.
- Manage follow‑up actions, communications, and documentation.
- Support governance activities, including membership approvals, financial updates, and policy development.
Member Relations & Communications:
- Leverage insurance industry knowledge to assist with recruiting, engagement, and communications
- Lead membership outreach, onboarding, renewals, and invoicing.
- Maintain ongoing communication with members, including updates, reminders, and follow‑ups.
- Prepare membership packages, renewal letters, and informational materials.
- Respond to member inquiries and coordinate member engagement activities.
Annual Meeting Planning & Execution:
- Serve as the primary project manager and event organizer for the Annual Meeting, including:
- Agenda development.
- Speaker coordination.
- Logistics and venue coordination.
- Catering, travel, and onsite support.
- Registration management.
- Post‑event surveys, follow‑up, and reporting.
- Coordinate with CIERA committees/working groups, government partners, relevant industry organization, and external vendors.
Working Group & Committee Coordination:
- Manage multiple working groups, including:
- Intelligence Sharing
- Licensing & Training
- Government Liaison
- Coordination Operational Hub
- Membership Advisory Committee
- Schedule meetings, prepare materials, track progress, and ensure follow‑up.
- Support development of protocols, activation criteria, training materials, and white papers.
Emergency Response & Interagency Coordination
- Actively monitor CA weather and hazard forecasts.
- Act as liaison with agencies such as FEMA, CalOES, CDI, USGS, CalTrans, local law enforcement offices, and others.
- Lead CIERA’s service activation and emergency response coordination during large-scale emergency events (earthquake, fires, storms, tsunamis, etc.).
- Assist with situational monitoring, information sharing, and member updates.
- Prepare and refine emergency protocols, activation criteria, and response frameworks.
Project & Program Management:
- Lead development of tabletop exercises and training programs.
- Coordinate special projects such as continued management of a GEO platform that provides verified and trusted geospatial data, services, and other actional intelligence relevant to the operational response to a catastrophic event.
- Manage relationships with external partners including McKenzie Intelligence Services (MIS), Lloyd’s Market Association (LMA), and other industry stakeholders.
Administrative & Operational Support:
- Prepare invoices, track hours, and manage expense documentation.
- Develop and maintain organizational templates, documents, and communication materials.
- Support contract renewals, vendor coordination, and administrative workflows.
- Conduct research and prepare summaries, reports, and briefing documents.
External Relations & Industry Engagement:
- Represent CIERA in meetings with insurers, service providers, and industry groups.
- Support outreach to prospective members and partners.
- Coordinate participation in conferences, presentations, and external events.
- Manage follow‑up communications and relationship development.
Qualifications:
Required:
- Strong project management and organizational skills.
- Excellent written and verbal communication abilities.
- Experience coordinating multi‑stakeholder initiatives.
- Ability to manage complex logistics and competing priorities.
- Professionalism, discretion, and the ability to work independently.
- Comfort working with government agencies, industry partners, and executive‑level stakeholders.
Preferred:
- Background in catastrophe insurance and/or emergency management or related fields.
- Experience supporting Boards or executive leadership.
- Familiarity with emergency response frameworks or interagency coordination.
- Experience with project management and business development.
