Schedule: Monday through Friday during program hours; specific hours vary by school site

Position SummaryThe Associate Site Coordinator provides administrative, compliance, and operational support for EduCare Foundation’s expanded learning program at an assigned school site.
Working under the direction of the Senior Site Coordinator, the Associate Site Coordinator supports student attendance and registration, program documentation, monthly calendars, events, field trips, student recruitment, surveys, and compliance activities.
The position works collaboratively with students, families, school administrators and employees, district representatives, community partners, and EduCare departments to help maintain a comprehensive, coordinated, compliant, and welcoming expanded learning program.
The Associate Site Coordinator also mentors students and helps create a safe, caring, inclusive environment that encourages creativity, expression, social-emotional learning, and student success.
Essential Duties and ResponsibilitiesAdministrative and Operational Support- Provide general administrative and operational support to the assigned school site.
- Assist the Senior Site Coordinator with the daily operation and coordination of the expanded learning program.
- Help maintain the site’s program calendar, activity schedule, events, field trips, and other program initiatives.
- Assist with the preparation and organization of program materials, supplies, records, and site documentation.
- Submit required documentation to the After School Programs, Human Resources, Finance, and other EduCare departments within established deadlines.
- Maintain accurate, complete, confidential, and organized administrative and compliance records.
- Respond to requests for information and assistance promptly and professionally.
- Communicate operational, administrative, safety, or compliance concerns to the Senior Site Coordinator.
- Support the implementation of new programs and activities in collaboration with the Senior Site Coordinator, school personnel, and community partners.
- Perform other related duties and projects as assigned.
- Follow EduCare Foundation’s procedures for collecting, reviewing, approving, and submitting student attendance records.
- Enter attendance information into EduCare’s designated attendance-tracking systems within required deadlines.
- Complete and submit attendance through the Beyond the Bell application when assigned to an applicable Los Angeles Unified School District location.
- Support accurate student sign-in, sign-out, and authorized-release procedures.
- Track and maintain required student registration, enrollment, and participation documentation.
- Review records for completeness and follow up regarding missing or incomplete information.
- Assist with monitoring enrollment, participation, and attendance goals.
- Help ensure required staff-to-student ratios and student-supervision standards are maintained.
- Follow applicable grant, school, district, and EduCare Foundation requirements.
- Follow the requirements outlined in the After School Program Policies and Procedures Manual.
- Participate in program observations, compliance reviews, audits, monitoring activities, and emergency drills.
- Assist with incident reports and other required program documentation when assigned.
- Maintain the confidentiality of student, family, employee, and organizational information.
- Assist with organizing, facilitating, and participating in program activities, events, and field trips.
- Coordinate and maintain required event and field-trip documentation.
- Support communication regarding program schedules, events, activities, and field trips.
- Assist with monthly program calendars and activity schedules.
- Help ensure that appropriate materials, forms, approvals, and other resources are available before events and field trips.
- Support student supervision and safety during program activities, events, and field trips.
- Assist with evaluating program activities and gathering feedback to improve participation and program quality.
- Actively recruit students to participate in expanded learning programs, activities, events, and field trips.
- Build positive and professional relationships with students.
- Mentor students and encourage their academic, personal, and social-emotional development.
- Help students identify activities and opportunities that align with their interests.
- Promote student participation, creativity, confidence, expression, and leadership.
- Assist with student-interest surveys and other methods of gathering student feedback.
- Help maintain a safe, welcoming, inclusive, and culturally responsive program environment.
- Elevate significant student behavior, safety, or well-being concerns to the Senior Site Coordinator.
- Communicate effectively and professionally with students, families, site employees, school administrators, teachers, district personnel, community partners, external program observers, and EduCare departments.
- Work collaboratively with the Senior Site Coordinator and other program employees to support site goals.
- Maintain consistent communication with the Senior Site Coordinator regarding attendance, registration, documentation, activities, events, and operational needs.
- Assist with surveys of students, families, school personnel, and EduCare employees as part of Quality Standards and Continuous Quality Improvement processes.
- Represent EduCare Foundation professionally during meetings, training, program activities, events, and field trips.
- Attend required site meetings, organizational meetings, professional development, and training.
- Follow all EduCare Foundation, school, district, and program safety policies and emergency procedures.
- Help ensure that student supervision, sign-in and sign-out, and authorized-release procedures are followed.
- Monitor program areas for potential safety concerns and report concerns promptly.
- Report injuries, incidents, suspected abuse, unsafe conditions, and other serious matters through the appropriate channels.
- Participate in required emergency drills and safety training.
- Use program spaces, materials, supplies, and equipment safely and appropriately.
This position does not have formal supervisory responsibilities.
The Associate Site Coordinator may provide operational assistance, communicate daily assignments, or help coordinate program activities when directed by the Senior Site Coordinator. However, the position does not independently exercise formal authority related to hiring, discipline, performance evaluations, compensation, leave, suspension, or termination.
Required QualificationsEducationOne of the following is required:
- Associate degree from an accredited college or university; or
- Completion of at least 12 semester units from an accredited college or university.
A bachelor’s degree is preferred.
Experience- At least two years of experience working in youth-centered programs, expanded learning programs, educational programs, or community-based organizations.
- At least two years of experience teaching, leading, mentoring, or supporting students from diverse cultural and linguistic backgrounds.
- Previous experience working with middle- or high-school students.
- Administrative experience is preferred.
- Strong administrative, organizational, and recordkeeping skills.
- Strong attention to detail and consistent follow-through.
- Ability to maintain accurate attendance, registration, and compliance records.
- Ability to manage multiple assignments, competing priorities, interruptions, and deadlines.
- Strong verbal and written communication skills.
- Ability to communicate professionally with students, families, employees, school personnel, and community partners.
- Ability to establish positive and supportive relationships with students.
- Ability to work independently while contributing to a collaborative team.
- Sound judgment and the ability to follow written, verbal, and procedural instructions.

- Proficiency with email, internet applications, Microsoft Office, databases, attendance systems, timekeeping systems, and online training platforms.
- Ability to learn and use additional technology required by EduCare Foundation or the assigned school district.
- Dependability, professionalism, initiative, adaptability, and commitment to student success.
- Bachelor’s degree in education, child development, recreation, psychology, social services, youth development, nonprofit management, or a related field.
- Experience working in an expanded learning or after-school program.
- At least two years of administrative experience.
- Experience with student attendance, registration, enrollment, or compliance documentation.
- Experience supporting school-site events and field trips.
- Experience working with grant-funded programs.
- Experience working with LAUSD or another school district.
- Current First Aid and CPR certification.
- Bilingual proficiency in English and Spanish or another language relevant to the school community.
- Successfully complete the required Live Scan background-clearance process before beginning employment.
- Provide TB clearance that meets EduCare Foundation’s current requirements.
- Obtain and maintain First Aid and CPR certification within 90 days of employment unless an earlier deadline applies.
- Complete all required organizational, district, safety, compliance, and professional-development training.
- Be available to work the schedule required by the assigned program and school site.
- Be available for occasional evening or weekend meetings, training, events, and field trips.
- Be willing and able to travel to school sites, meetings, training, and other locations throughout the Los Angeles area.
- Understand that assignment to a specific school site is not guaranteed and that reassignment may occur based on staffing, funding, enrollment, contractual, or program needs.
While performing the essential duties of this position, the employee may be required to:
- Stand, walk, sit, bend, reach, kneel, crouch, climb, and move throughout the school site.
- Supervise or participate in indoor and outdoor program activities.
- Remain standing or walking for extended periods.
- Regularly lift or move items weighing up to 10 pounds.
- Frequently lift or move program materials weighing up to 25 pounds.
- Occasionally lift or move items weighing up to 50 pounds.
- Communicate effectively in person, by telephone, and through electronic communication.
- Observe student activities and program environments effectively.

Work EnvironmentWork is primarily performed at an assigned school site and may take place in classrooms, offices, cafeterias, gymnasiums, outdoor recreation areas, and other program locations.
The employee may experience moderate noise, active student environments, changing weather conditions, frequent interruptions, and movement between indoor and outdoor areas.
