Finance and Human Resources Support Administrator

We are seeking a highly organized and detail-oriented Finance and Human Resources Support Administrator to support our Finance and Human Resources teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and has a strong focus on financial operations with the ability to assist in HR functions. The successful candidate will play a key role in ensuring accurate financial reporting, compliance, and smooth day-to-day operations while providing support for HR-related tasks.
Accounts Payable & Receivable
- Process vendor invoices and manage payment schedules.
- Manage customers' sales reports and ensure timely collections.
Financial Reporting & Reconciliation
- Assist in preparing monthly and quarterly financial reports for the CEO.
- Reconcile bank accounts, credit cards, and intercompany transactions.
Expense Management
- Compile and categorize monthly expense reports for management review.
- Track spending trends and highlight variances.
- Prepare and issue checks for vendor payments and employee reimbursements.
- Maintain accurate documentation of invoices, receipts, and contracts.
Check Issuance & Documentation
- Distribute mail to the appropriate departments or individuals in a timely manner.
Mail/Packages Receipt & Sorting
- Manage the receipt, sorting, and distribution of incoming packages.
Compliance & Audits
- Support the HR Director in preparing documents and reports for annual external HR audits to ensure compliance with labor laws and company policies.
- Verify employee working hours, PTO usage, and payroll accuracy in the TriNet system.
Employee Benefits & Insurance
- Assist in health insurance renewal and open enrollment processes.
- Support the HR Director in planning and implementing employee benefit programs and updating the employee handbook.
- Manage PTO allocations, tracking, and payouts in collaboration with the CPA.
Employee Engagement & Events
- Plan and coordinate quarterly team-building events, holiday celebrations, and monthly birthday luncheons.
- Update the office message board with company news, birthdays, and events.
Recruitment & Onboarding
- Assist in creating job postings, screening candidates, and scheduling interviews.
- Manage onboarding processes, including document preparation, system access setup, and orientation.
Employee Support & Policy Management
- Address employee concerns related to benefits, PTO, and workplace issues.
- Assist in developing, revising, and communicating company policies.
Facility & Office Management
- Conduct weekly facility checks and manage office supplies and snacks.
- Coordinate with vendors for kitchen maintenance, air purifier upkeep, and office repairs.

- Associate's Degree in Finance, Accounting, Business Administration, Human Resources, or a related field.
- 1-3 years of experience in finance, accounting, or administrative roles, with some exposure to HR functions.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in financial software (e.g., QuickBooks) and HRIS systems (e.g., TriNet).
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Familiarity with financial reporting, compliance, and basic HR practices is a plus.
- Bilingual proficiency (e.g., Korean, Portuguese, Spanish) is a plus.
