POSITION TITLE: Office Assistant
DEPARTMENT: Resort Administration
REPORTS TO: Property Manager
SALARY RANGE: $16.50 - $17.00 DOQ Full Time (36 hours week)

Duties and Responsibilities:
  • Overseeing clerical tasks, such as sorting and sending email
  • Keeping an inventory of office supplies and ordering materials as needed
  • Maintaining files
  • Welcoming visitors
  • Answering phone calls
  • Taking and delivering messages
  • Ensuring the office runs smoothly.
  • Scheduling meetings and sending meeting invites to attendees
  • Assist Property Assistant
  • Assist in scanning checks into the accounts receivable tracking system.
  • Assist in entering accounts receivable, including checks, money orders, credit cards, and cash, into the correct account.
  • Verify transactions for deposit to make sure all monies are entered correctly by account, tenant, amount, and number on checks, etc.
  • Assist in filing all property management files.
  • Assist in updating all tenant billing information.
  • Deal with all tenant inquiries, referring them to the Property Manager when appropriate.
  • Assist in entering and tracking tenant electrical charges for Enterprise Park
  • Update information on Property Management Software
  • Create correspondence, including letters and reports.
  • Assist in administering and managing the 25% rental fee program.
  • Assist walk-in customers at the front counter.
  • Performs miscellaneous job-related duties as assigned.
PREREQUISITES:

Must be age 18 or older.

Education: GED and basic office assistant skills required. Must be able to communicate in the primary language of the workplace. Must have excellent verbal and written communication skills.

Experience: Minimum of one-year office assistant. Must be computer literate with strong knowledge of spreadsheet & word processing programs (Excel & MS Word) required. Complete understanding of MS Windows software, with excellent skills in maintaining a Database. 10 Key by touch Clerical speed and accuracy required.

Physical: Good visual acuity; good finger dexterity; ability to perform repetitive motions, this position requires sitting for long periods, ability to reach, must be able to bend and lift to 25 lbs. periodically.
