Private Client Assistant

Job Overview

The Private Client Assistant supports the brand’s most discerning clientele through exceptional service, precise execution, and highly organized operational support. This role supports the Private Client team and reports directly to the Private Client Manager with a dotted line to the Senior Operations Manager. This role is detail-driven and process-focused, working closely with cross-functional teams across e-commerce, events, marketing, production, and client relations to ensure a consistently elevated luxury experience at every touchpoint. Success in this role requires strong attention to detail, accuracy, follow-through, and the ability to manage multiple workflows with care and precision. We are targeting a July 2026 start date, with some flexibility for the right candidate.

Key Responsibilities:
  • Support daily Shopify Plus business, ensuring accurate order processing, quality control checks, and on-time fulfillment to maintain a seamless luxury client experience.
  • Pack all client orders in the Libertine Client Experience standard in a timely, organized, and meticulous manner on a daily basis ensuring all details are executed with precision (steaming, packing, properly ticketing, shipping, wrapping, etc.)
  • Review, facilitate, and flag all private client returns promptly and accurately (communicating with PC team, QCing, documenting, and tracking the refund).
  • Act as a key point of contact for internal teams to ensure seamless flow of communication surrounding client orders, client issues, and client inquiries.
  • Help support private salons and runway presentations during New York and Paris Fashion Week when necessary by assisting with logistics, packing merchandise and supplies, vendor coordination, guest lists, and on-site execution.
  • Support when necessary in-person client activations, including pop-up boutiques and brand events across key markets. Travel may be needed throughout the year and on select weekends.
  • Produce digital lookbooks and internal tools for private clients ensuring clarity, accuracy, and visual precision.
  • Partner closely with atelier and production teams to track custom, made-to-order pieces, and pre-order pieces to ensure updates are communicated clearly and timelines are followed.
  • Coordinate press and stylist sample loans by tracking requests, inventory movement, approvals, and returns in collaboration with PR, ensuring meticulous record keeping.
  • Help photoshoot set up and details during Studio shoot days by being a key point person in between teams.

Daily Responsibilities:

  • Review all unfulfilled orders daily, ensuring no details are missed and orders are processed correctly from start to finish.
  • Tag and process new orders requiring embellishment and coordinate handoff with the operations team using established procedures.
  • Monitor the Customer Service inbox/Shopify Live Chat and partner with Private Client Manager to respond to inquiries with care and in a brand aligned voice.
  • Maintain a physical private client rack in a clear (COG vs. stock), labeled (receipts), and organized way checking in am and pm.
  • Responsible for keeping consignment binder up to date with consignments, loans, and receipts.
  • Ensure in-person showroom is neat at the end of each day ready for client appointments the following day.
  • Responsible for all Private Client go-backs daily and at the end of any in-person appointments.

Qualifications

  • 1-2 years experience in luxury fashion retail in a client operational support role.
  • Strong appreciation for elevated client service standards and attention to detail required when working with high-touch clientele.
  • Highly organized, process-oriented mindset with the ability to manage multiple tasks simultaneously while maintaining accuracy.
  • Excellent written and verbal communication skills with a polished, brand-appropriate tone.
  • Comfortable working within established systems and workflows, with a strong focus on precision and follow-through.
  • Understanding of how to thrive within ambiguous and growing team environments.
  • Proficiency or familiarity with Shopify Plus, Klaviyo, and Apparel Magic a plus.
  • This is an office based position at our Hollywood Studio and requires being in office Monday-Friday 8:30 AM - 4:30 PM
  • Ability to travel year-round and work occasional weekends as needed.
