Administrative & Accounts Payable Support Specialist
GENERAL DUTIES
- Effectively communicate internally and externally regarding administrative matters including, but not limited to Opening Jobs(Projects), providing invoice copies and expense receipt backup
- Submitting project-related invoices on a monthly basis in a timely manner including the review of client specific processes/requirements
- Learn and maintain Client Invoicing processes
- Learn and maintain online Client Portals (i.e. Coupa, Stampli, Passport, etc.)
- Accurately save and process Expense Reports, including receipts review and appropriate account coding in accordance to SWA's Chart of Accounts
- Coordinate and schedule monthly Finance/Marketing calls with each design studio (8 total)
- Monthly review to accurately recode print jobs to related projects in Abacus
- Monthly Distribution of Management Reports to appropriate Office Managers
- Monthly Distribution of invoice copies to appropriate Office Managers
- Oversee active and closed project folder records (Digital & Hard Copy)
- Recordkeeping of Wire, Check and Contract information
- Assist with vendor payable data entry
- Perform Administrative support as needed
Candidate must be able to understand and accomplish all of the above with a positive team-player attitude.
QUALIFICATIONS
- Excellent, effective oral and written communication skills
- Strong planning, organizational, prioritization and time management skills
- Bookkeeping background (Chart of Accounts, Account Reconciliation, Recordkeeping, etc.)
- Microsoft Office: Intermediate Excel, Outlook , & Word
- Strong sense of integrity and professionalism
- Ability to follow instructions and follow through with individual tasks in a timely manner
DESIRED SKILLS
- Demonstrates Initiative & eagerness to advance
- Intermediate knowledge of Deltek Vision (Accounting Software)
EDUCATION:
- Associates Degree (AA) or two years related working experience within an Accounting environment
COMPENSATION
- In addition to a salary (range $55,000 - $58,000), SWA offers a very competitive and comprehensive benefits package including Medical, Dental. Life, Long-term Disability Insurance. There is also 401K, Profit-Sharing and ESOP (Employee Stock Ownership Plan) Retirement Plans.
