Facilities Coordinator 4

MalaceHR is seeking a Site Operations Coordinator to provide essential administrative and operational support to the site management team. This role focuses on ensuring smooth day-to-day operations, coordinating vendor activities, and supporting communication between stakeholders. The ideal candidate will be detail-oriented, organized, and comfortable working in a fast-paced environment.

Key Responsibilities

• Schedule and coordinate vendor activities and site inspections .

• Maintain accurate records of vendor interactions, service requests, and site activities .

• Assist with the preparation of reports on site operations and vendor performance .

• Respond to routine inquiries from staff, vendors, and clients in a professional manner.

• Support the implementation of site procedures, protocols, and compliance initiatives .

• Organize and maintain site documentation and operational manuals .

• Assist in tracking and reporting key performance indicators (KPIs) .

• Coordinate site meetings and prepare relevant materials.

• Support front desk operations , including greeting and assisting visitors.

• Liaise with the regional mailroom lead to ensure smooth site operations.

• Actively participate in safety initiatives to maintain a safe working environment.

Technical Skills

Must Have

• 0–2 years of experience in an administrative or operational support role.

• Ability to prioritize tasks and manage time effectively.

• Ability to work onsite full time.

• Basic understanding of customer service principles.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office suite, particularly Excel and Outlook.

• Strong organizational skills and attention to detail.

Nice to Have

• Basic knowledge of building operations and maintenance.

• Experience in a facilities management or property management environment.

• Experience with data entry and database management .

• Exposure to scheduling and coordination software .

• Familiarity with vendor management concepts .

• Understanding of health and safety practices in a workplace setting.
