Laboratory Administrative Specialist
Millennium Health LLC is an accredited specialty laboratory with more than a decade of experience in medication monitoring and drug testing services, helping clinicians monitor the use and misuse of prescription medications and illicit drugs. The testing is used by healthcare professionals to obtain objective information about patients’ recent use of prescription medications and/or illicit drugs and helps monitor the effectiveness of treatment plans.
The Laboratory Administrative Specialist will be responsible for providing administrative support to the clinical laboratory management team. This role will anticipate, prioritize, and successfully complete multiple tasks as required, as well as provide a high level of customer service internally and externally. This position requires exposure to confidential information requiring diplomacy, discretion, and judgment.
- Acts as the communication hub for the department by attending all meetings, distributing meeting minutes, and ensuring completion of follow up items
- Master all laboratory administrative processes and works to implement optimizations
- Take ownership of projects assigned by management, ensuring timely and successful completion
- Schedules and maintains calendar of appointments, meetings and coordinates related arrangements
- Prepares power point presentations and routine correspondence as directed
- Screens telephone calls and visitors, may resolve routine and some complex inquiries
- Guides visitors on tours of the facilities
- Assists in tracking expenses and preparing expense reports
- Prepares and maintains department regulatory records, instrumentation logs, and licenses
- Prepares and maintains employee regulatory files and assists with new hire onboarding
- Tracks and assigns testing and trainings through the companies learning management systems
- Serves as administrative liaison to others within and outside the company
- Ability to ensure HIPAA, Confidentiality and Compliance policy, procedures, and standards are always adhered to
- Ability to ensure administrative, physical and technical cyber security controls are always adhered to
- High School diploma minimum requirement
- Bachelor’s Degree preferred
- 3+ years administrative experience required
- Project management or Lean Six Sigma experience preferred
- Advanced proficiency in MS Office including Word, Excel, PowerPoint, and Outlook
- Experience with AI tools such as Microsoft Copilot
- Perform detailed clerical and administrative work with accuracy
- Excellent organizational skills
- Ability to recognize and maintain confidential information
- Ability to meet deadlines and produce high quality deliverables
- Ability to communicate cross functionally and drive project completions
- Ability to work independently with strong decision making and problem-solving skills
- Proficiency with modern office practices and proper use of programs such as Zoom and Teams

Potential Hiring Range:
- Salary Range: $30-$38/hr.
- Salary offered is dependent on qualifications, experience, and geographical location.
