Front Office Supervisor (PM)

: Overview: The Galleria Park Hotel has begun a search for a PM Front Office Supervisor. The ideal candidate is a self starter and is passionate about guest services and team work. This role is predominantely for the 3-11pm shift, though some mid shifts and mornings may be required. Availability to work weekends and holidays is necessary in order to be considered for this position. Galleria Park Hotel won the 2022 Leader of Culture award in the team member category within our portfolio of hotels and resorts. Galleria Park Hotel is the perfect home base for foodies, techies, world travelers, and corporate warriors. Situated at the edge of FiDi, guests can stroll to great eateries, shops, and attractions or take advantage of the world-class public transportation and get to know the City by the Bay. We're just one block from a BART Station and there's never a shortage of trolleys, taxis or rideshares around downtown. Intially as the Occidental hotel and the home of the original Martini, the Galleria Park is a gem in the city and positioned in the top #20 hotels in San Francisco on TripAdvisor. While on duty, the Front Office Supervisor will supervise the operations of the front office, guest services, and room service. The Front Office Supervisor will provide the support, training, and tools the front office team members require to fulfill the hotel mission for the guest. All responsibilities shall be carried out in a timely, accurate, and professional manner, in accordance with the property's core values. Responsibilities:
  • Supervises daily front office functions to sustain courteous and professional guest service levels.
  • Resolve guest complaints in a satisfactory manner.
  • Maximize daily room sales.
  • Coordinate daily group arrival/departure preparation, special requests, room assignments and guest amenity programs, including any hotel guest service program
  • Support and comply with the VIP program
  • Coordinate with bell/valet team members and strategize for arrivals of the day
  • Coordinate meal breaks to ensure everyone on duty has an opportunity to take uninterrupted meal breaks
  • Identify and support new initiatives that will enhance the guest and team member experience
  • Serve as MOD as needed for team member and guest relations
  • Become aware of events in house at the beginning of shift and help coordinate with Banquet Captain or Sales Manager regarding arrivals or special requests
  • Become aware and collect information from the sales department regarding porterage, then coordinate with bell/valet team
  • Coach team members and be part of their on boarding and training
  • Schedule front office team members appropriate to forecasted business levels.
  • Follow up with front office team members on daily shift and individual duties.
  • Serve as lobby ambassador when appropriate to enhance guest experience
  • Assign additional projects to front desk team members during slow times.
  • Perform verbal instruction and guidance to guests and team member compliant with the company's policy.
  • Complete daily property walks and complete manager on duty reports.
  • Support and comply with hotel policy and company policy in matters concerning accounting, purchasing, credit and cash handling.
  • Responsible for maintaining front office/lobby appearance while on duty.
  • Maintain proper collateral and supply inventory to support all appropriate front office activities.
  • Coordinate relocation of guests when necessary.
  • Various duties and projects as directed by hotel management.
  • Support and comply with all company brand standards, including VIP.
  • Ensure Front Office complies with company's fire and emergency procedures.
Qualifications: Qualifications/Skills: Requirements are representative of minimum levels of knowledge, skills and /or abilities. To perform this job successfully, the employee will possess the abilities or aptitudes to perform each duty proficiently, with or without reasonable accommodation. Essential:
  • Previous Front Office supervisory experience.
  • High school graduate, some college.
  • Ability to satisfactorily communicate in English (speak, read, write) with guests, management, co-workers and vendors.
  • Ability to accurately compute and manipulate mathematical calculations.
  • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work with a minimum of supervision.
  • Previous experience in cash handling.
  • Computer knowledge in Windows environment as well as proficiency in property management system.
  • Experience with cost controls and yield management.
  • Ability to work a variety of varying schedules.
  • Punctuality and regular and reliable attendance.
  • Interpersonal skills and the ability to work well with co-workers and the public.
Desirable :
  • College degree.
  • Ability to communicate in a second language.
Essential Physical Abilities:
  • Endure various physical movements throughout the work areas.
  • Ability to grasp, bend, and stoop; push or pull heavy loads weighing up to 75 lbs.; and lift and/or carry or otherwise move packages, boxes, and luggage.
