Summary
We are seeking a Marketing Operations & Project Specialist to lead project management efforts and support marketing operations for the Advanced Patient Monitoring Brand & Digital marketing team. This role is central to driving the successful integration of our business unit into, ensuring alignment across marketing workstreams and cross-functional stakeholders.

Youll manage timelines, coordinate deliverables, and support procurement processes while playing a key role in executing strategic initiatives, product launches, and market development efforts. This is a highly collaborative role ideal for someone who thrives in a structured yet dynamic setting and is comfortable navigating ambiguity.

Key Responsibilities:

Project Management
• Manage execution of marketing-related workstreams tied to integration
• Coordinate with cross-functional stakeholders to ensure timely execution of tasks
• Track integration milestones and ensure alignment with deliverables
• Lead integration meetings to review status, risks, and next steps
• Document and communicate progress, risks, and dependencies to leadership

Traffic Management
• Manage timelines and asset progress across marketing campaigns using Monday.com
• Proactively identify blockers and help remove obstacles to maintain momentum
• Follow up with project owners to keep deliverables on schedule
• Maintain accurate, up-to-date tracking of projects and documentation
• Lead weekly team meetings to review status, risks, and next steps

Procurement & Vendor Support
• Submit requests to contracts team for new vendors (NDAs, MSAs, SOWs)
• Process quotes to create purchase requisitions and generate purchase orders
• Submit invoices for timely payment processing

Calendar & Meeting Management
• Manage calendar for department head

Other incidental duties as required.

Ideal Candidate Will Have:
• Bachelor's Degree in a related field with 3+ years of experience in marketing project coordination, or traffic management
• Strong attention to detail and ability to manage multiple workstreams
• Flexibility and comfort with ambiguity in a complex, evolving environment
• Experience with Monday.com or similar project management platforms
• Professional communication and follow-up skills across functions
• A proactive mindset and ability to work independently while navigating internal processes

Preferred Qualifications:
• Experience working in regulated industries (e.g., medtech, pharma, life sciences, financial servcies)
