Health Records Coordinator
Role Summary
Looking for a detail oriented Health Records Coordinator to manage electronic and paper-based medical records in support of delivering high-quality care to older adults. This pivotal role ensures compliance with HIPAA regulations, supports care teams with timely and organized access to patient information, and contributes to the overall quality and effectiveness of the organization’s patient care model. Key Duties
Prepare new patient charts, file documents into active and closed records, and maintain organized records systems.
Implement and administer the electronic medical records (EMR) system while also maintaining necessary paper records.
Request medical records related to emergency department visits, hospitalizations, and other institutional care.
Support staff with EMR system orientation, troubleshooting, and ongoing updates.
Develop long-term plans for electronic records management aligned with organizational goals and compliance requirements.
Collaborate with the Compliance Officer and legal team to ensure adherence to federal and state records regulations.
Establish and maintain secure, consistent, and accessible records storage protocols.
Create guidelines for the appropriate acquisition and use of electronic records management tools.
Ensure timely retrieval of records by authorized personnel or government agencies when required.
Coordinate with leadership to release information in compliance with HIPAA and patient privacy regulations.
Prepare EMR documents for audits, surveys, and other program needs.
Maintain and organize both electronic and paper records, including purging outdated materials.
Uphold safety, confidentiality, and company policies at all times.
Participate in ongoing quality improvement initiatives and required continuing education and training.
Maintain relevant certifications and perform other duties as assigned.
Other duties as assigned.
Required Qualifications
Associate’s degree required.
One year of experience in medical records or clerical work within a long term care setting.
Hmong language proficiency required.
Reliable transportation, a valid driver’s license, and proof of minimum state required auto liability insurance.
Medically cleared for communicable diseases and up-to-date immunizations prior to any direct patient contact.
Desired Qualifications
Bachelor’s degree in Library or Information Sciences.
Experience in electronic health records systems and healthcare compliance.
Location & Work Type
This position is based on-site in a clinic setting, working closely with patients and the care team in a supportive and community-focused environment.
Schedule: Full Time Monday-Friday
Pay: It depends on experience, and it may be flexible with full benefits.
