Admin Asst/Medical Process/Spanish
Job Summary
We are seeking a bilingual Admin Assistant, Medical Processing to support administrative workflows within a legal services environment in Novato, CA. This contract opportunity is ideal for a detail-oriented administrative professional with English and Spanish communication skills, strong organization, and the ability to support time-sensitive case movement through accurate scheduling, document preparation, and client coordination. This role offers the opportunity to work with a professional team in a fast-paced office setting where accuracy, confidentiality, and clear communication are essential. The Admin Assistant, Medical Processing will interact with Spanish-speaking clients, internal staff, attorneys, and outside medical facilities while helping ensure medical processing tasks are completed efficiently and on deadline. Key Responsibilities - Serve as a liaison with Spanish-speaking clients to schedule radiologic exams, pulmonary function tests, and Zoom appointments with experts.- Prepare form letters and administrative documents according to established protocols.
- Review letters translated from English to Spanish for accuracy, clarity, and consistency.
- Communicate professionally with internal staff, attorneys, clients, and outside facilities while maintaining confidentiality.
- Support the Medical Processing Department with administrative tasks that help move cases forward.
- Manage multiple priorities in a fast-paced, deadline-driven office environment. Compensation and Benefits - Pay rate: $25.00 per hour.

Required Qualifications and Skills
- Coordinate scheduling of medical exams, pulmonary function tests, and expert Zoom appointments for Spanish-speaking clients.- Prepare and review administrative correspondence, including Spanish-translated letters.
- Support medical processing workflows and help maintain timely case movement.
- Communicate with internal teams, attorneys, clients, and outside medical facilities. - 1 to 2 years of administrative or clerical experience.
- Bilingual English/Spanish communication skills required.
- Excellent written and verbal communication skills.
- Accurate typing speed of 30 to 40 WPM.
- Proficiency or working knowledge of Word, Excel, Acrobat, databases, and WordPerfect.
- Strong attention to detail and ability to maintain accuracy with documents and scheduling.
- Ability to manage multiple tasks, organize workload, and consistently meet deadlines.
- Professional communication skills and ability to maintain confidentiality of firm matters.
- Ability to work independently and collaboratively in a fast-paced, high-pressure environment.
- Strong problem-solving skills with initiative to take the next step. Preferred Qualifications - Familiarity with medical records and medical bills.
- Experience in a legal services, medical processing, claims, or case management support environment.
- Prior experience reviewing translated documents for accuracy.
