Job Title: Executive Assistant (Contract) Location: Irvine, CA (On-site) Duration: Temporary About the Role: Our client, a well-established real estate company, is seeking an experienced Executive Assistant to provide high-level support during a leave of absence. This role requires someone who is proactive, highly organized, and comfortable managing competing priorities while maintaining a high level of professionalism and discretion. Key Responsibilities: Provide day-to-day administrative support to executive leadership Manage complex calendars, scheduling meetings, and prioritizing conflicting requests Coordinate travel arrangements, itineraries, and logistics Prepare and edit correspondence, presentations, and reports Support meeting coordination, including agendas, materials, and notes Process expense reports and assist with budget tracking Act as a liaison between executives and internal/external stakeholders Assist with special projects, events, and team initiatives Maintain confidentiality when handling sensitive information Qualifications: 3–5 years of Executive Assistant experience, preferably supporting senior leaders Prior experience in real estate, property management, or a fast-paced corporate environment is a plus Strong calendar management and organizational skills Excellent written and verbal communication skills Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) Experience with expense and travel tools (e.g., Concur) preferred Highly detail-oriented, proactive, and able to work independently Professional presence with strong interpersonal skills What We’re Looking For: Someone who takes initiative and anticipates needs Ability to juggle multiple priorities and adapt quickly Strong attention to detail and follow-through A team player who can build relationships across the organization Why This Role: Opportunity to gain experience with a reputable real estate organization Exposure to executive-level operations and high-impact work Fast-paced, collaborative environment Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
