Maintenance & Construction Administrative Coordinator
Location: Studio City, CA 91604
Schedule: Monday to Friday, 8:00 AM – 5:00 PM (1-hour lunch)
Pay Rate: $23.00 – $27.00 per hour
Work Arrangement: Hybrid – 4 days in office, 1 day remote

About the Role
We’re looking for a detail-oriented and highly organized Administrative Coordinator to serve as the operational backbone of LAPMG’s Maintenance and Construction department. In this role, you will manage daily timekeeping audits, process AppFolio billing for completed work orders, support payroll administration, and maintain proactive communication with field technicians, foremen, and construction supervisors. You will also be responsible for sending client updates and preparing final invoices upon project completion. What You’ll Do
• Conduct daily audits of Timesheet entries for construction and maintenance field staff to verify accuracy
• Confirm that technicians have clocked in and out at the correct job location
• Review and verify lunch break entries and location data for compliance
• Flag and resolve timekeeping discrepancies in a timely manner
• Perform daily review of the job tracker for project status updates
• Process billing for all completed construction team work orders and projects in AppFolio
• Coordinate with supervisors to confirm work order completion prior to invoicing
• Enter all manager-approved time-off requests into the payroll system
• Support accurate recordkeeping for payroll processing
• Communicate with filed technicians, foreman and construction supervisors to verify Timesheet accuracy as needed
• Maintain productive working relationships with foremen, construction supervisors, and maintenance staff
• Send timely client updates regarding project and work order progress
• Prepare and distribute final invoices upon project completion
What You’ll Bring
• Minimum 1 year of relevant bookkeeping, data entry, or billing experience
• Strong attention to detail — accuracy in timekeeping, billing, and data entry is essential
• Demonstrated ability to multi-task and manage competing priorities in a fast-paced environment
• Proficiency with Microsoft Office Suite (Word, Outlook, etc.)
• Excellent written and verbal communication skills and a customer-service mindset
• Experience with AppFolio and/or QuickBooks is a plus
