Reception, Talent & Brand Coordinator

Position Summary: We're seeking a proactive and detail-oriented Reception, Talent & Brand Coordinator to support three key areas of our agency: Marketing & Recruitment campaigns , internal Recruiting operations , and Office Support responsibilities . This role is ideal for someone who thrives in a fast-paced environment, is highly organized, tech-savvy, and enjoys contributing to a positive and efficient workplace.
Key Responsibilities:
Marketing & Recruitment Support:
- Coordinate and send recruiting campaigns via Constant Contact or Mailchimp
- Assist with social media content, including posting about new agents and agency milestones
- Upload and manage content updates on the agency website (post-rebrand)
- Track and follow up on Life Claims program activities
- Help manage Hearsay platform disconnections and compliance submissions
- Distribute and follow up on Spark app leads
- Conduct contact list scrubs and help agents identify LinkedIn connections for outreach
- Support outreach and coordination for the Barnum program
- Assist with planning and organizing community involvement initiatives
Recruiting Operations:
- Assist the Director of Recruiting with reviewing resumes and candidate screening
- Input candidate notes into the recruiting database and maintain accurate records
- Help prepare materials and logistics for recruiting events
- Communicate professionally with potential candidates and support recruiting follow-up
Office Support:
· Welcome and direct visitors to the appropriate departments with professionalism and warmth.
· Manage a multi-line phone system: answer, screen, and route calls promptly.
· Maintain a clean, organized, and well-stocked reception area.
· Sort and distribute mail, manage deliveries, and handle visitor access and security protocols (e.g., monitoring the visitor logbook and issuing visitor badges)
· Coordinate office supply inventory and assist in scheduling meetings and appointments.
· Provide clerical and administrative support across departments.

- Able to manage multiple systems and timelines with professionalism and attention to detail
- Enjoys working across departments and jumping in wherever needed
Qualifications:
- 2-4 years of experience in marketing, recruiting, and/or administrative support
- Familiarity with email marketing tools (e.g., Constant Contact, Mailchimp)
- Comfortable with LinkedIn, CRM systems, and office tools (Microsoft Office)
- Excellent written and verbal communication skills
- BA or BS Degree

Pay: $24.00 - $37.50 per hour
