Client Relations Coordinator

Position Overview:
We are seeking a dedicated Client Relations Coordinator to join our dynamic and growing civil litigation and workers' compensation firm. The individual in this position will play a crucial role in managing new client intakes for our civil litigation cases and coordinating all aspects of medical care logistics for our workers' compensation cases.The ideal candidate will bring strong communication skills, superb organizational abilities, and a compassionate approach to client interactions.
Key Responsibilities:
- Oversee the intake process for new clients within the civil litigation division, focusing on sexual assault and employment cases.
- Provide phone support and handle intake calls for civil cases and route all other calls accordingly.
- Act as a liaison between clients and attorneys, ensuring that all client questions are addressed promptly and thoroughly.
- Coordinate the scheduling and management of medical appointments, travel arrangements, records acquisition, and appointment confirmations for our workers' compensation clients.
- Build and maintain strong client relationships, providing empathetic support and guidance throughout their legal journey.
- Collaborate with internal teams to ensure client needs are met with the highest standard of care and service.
- Implement and adhere to client service protocols, ensuring a consistent and positive client experience.
- Record and maintain detailed documentation of client interactions, services offered, and case progress.
- Engage in proactive client communication to identify further needs and provide updates on case developments.
- Participate in regular team meetings, providing insights on account statuses and identifying areas for service enhancement.
- Handle other and developing duties to be determined as the firm continues to scale and grow.
Qualifications:
- 2 years of client service or coordination experience, ideally within a legal or medical setting is preferred.
- A bachelor's degree in business administration, communications, or a similar field is preferred but not required, or equivalent professional experience.
- Advanced interpersonal and communication skills with a sensitivity toward client concerns and confidentiality.
- Excellent time management skills and the ability to manage multiple tasks with high attention to detail.
- Experience with CRM systems MERUS Case and CASEpeer and/or ability to learn; and proficiency in office software applications.
- A proven track record of problem-solving and the ability to navigate complex situations effectively.
- A team-oriented mindset coupled with the initiative to resolve client issues proactively.
