RHT Admissions & Enrollment Specialist III - Nursing - RVCC

SCOPE OF WORK: Performs duties relevant to the admissions cycle of LPN and RN programs including acceptance, enrollment, and providing post-admission support to students and Nursing Faculty; to provide administrative support necessary for meeting the College’s enrollment projections and admissions goals. This position reports also participates in departmental initiatives and/or institutional activities that advance the mission of the college through the support of the Rural Health Transformation Grant (RHT) and reports to the Department Chair of Nursing.

ADMISSIONS ACCOUNTABILITIES:

  • Participates in events including information sessions, student orientation, etc.
  • Follows up on prospective student leads via email and other means of communication.
  • Maintains current knowledge of Nursing (RN and LPN) academic programs, guidelines, policies, and procedures.
  • Assists in the preparation and/or revision of informational and promotional materials and forms related to Nursing admissions.
  • Works collaboratively with other offices integral to the admissions and Nursing department. Responds to inquiries from potential applicants, current applicants, and public inquiries, in person, via phone, or by electronic means; and prepares weekly reports based upon current applicants, submitted materials, and status.
  • Develops and maintains information files on prospective and current students and admissions data; tracks and follows up on these as necessary.
  • Processes student admissions applications.
  • Utilizes various software and databases including but not limited to Banner, EAB Navigate, MS Office, Target X/Salesforce and other private software; coordinates the electronic processing of recruitment and enrollment activities and information.

NURSING ADMINSITRATIVE SUPPORT ACCOUNTIBILITES

  • Assists Nursing Department Chair as needed to address and resolve any grant-related issues, communicating when required to the CCSNH Director of Workforce Development and the Rural Health Transformation (RHT) Grant Manager.
  • Supports Nursing Department Chair and participates as needed in statewide, regional, and Federal RHT related conferences, seminars, or meetings to ensure programmatic efforts are aligned with best practices and evidence-based models for RHT.
  • Assists in the development of Nursing admissions policies, procedures, and forms to improve student experience and office efficiency.
  • Maintains knowledge of Nursing Department policies and procedures; responds knowledgeably and appropriately to questions from the public, students, and faculty concerning program policies, procedures, and requirements.
  • Provides administrative and clerical support to the Nursing Department Chair for admission and clinical clearance activities, including but not limited to preparing correspondence and documentation, receiving, and distributing mail, scheduling interviews, preparing orientation materials, maintaining records utilizing 3rd party platforms (e.g., Viewpoint),
  • Obtains, updates, and manages contracts for clinical rotation agencies. Acts as liaison between clinical agencies and the departments in providing student information on an as-needed basis conforming to HIPAA and agency requirements.
  • Coordinate TEAS process for examinations including, but not limited to scheduling, proctoring, and dissemination of results for TEAS exams.
  • Organizes and provides administrative support for departmental events (e.g., advisory committee meetings, pinning ceremonies, project presentations, etc.).
  • Maintains records for inventories and assists in purchasing supplies and equipment for the departments, including preparation of in-house requisitions (IHRs), seeking cost estimates, tracking of invoices, completion of inventory process.
  • Serves on college committees, assists other college departments and administrative support staff, and engages in professional development activities as deemed appropriate by the supervisor(s).
  • Develops, reviews, and updates the departments’ public information materials using both electronic and print media (e.g., RVCC web page, print brochures, etc.).

  • Ensures a high level of confidentiality and security of information related to student and faculty records as maintained by the department.
  • Complies with all System, College, State and Federal rules and regulations.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education: Associate degree from a recognized college or technical institute with major study in business administration, marketing, public relations, education, counseling, student services, or related field. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Three (4) years’ experience in business, and/or education involving college admissions, marketing, promotion, interviewing, and customer service. Each additional year of approved work experience may be substituted for one year of required formal education. including supervisory, administrative support, or office management experience

DESIRED QUALIFICATIONS: Strong organizational, written, and oral communication skills and an ability to work effectively with individuals of diverse cultures. A working knowledge of college or university operations and programs. Ability to work autonomously and a history of innovation. Working knowledge and experience with the Microsoft Office Suite (including Word, Excel, PowerPoint, Publisher, Outlook, and Access); student information systems and/or learning management systems. Knowledge of medical terminology a plus.

  • Establish and maintain effective, professional working relationships with other employees and the public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the college appointing authority.

In compliance with CCSNH policies and state regulations, eligibility for employment within CCSNH and its institutions requires residency within a New England state.
