We are excited to share a new opportunity! We are currently seeking a highly organized, upbeat, and self-directed Administrative Assistant to support daily office operations in a fast-paced, service-based environment. If you are dependable, proactive, and skilled in QuickBooks Online, this is the perfect role for you!

Administrative Assistant Job Duties include:

  • Greet callers and provide timely, helpful responses or direct inquiries appropriately
  • Maintain and manage incoming/outgoing mail and customer correspondence
  • Prepare and send customer invoices using QuickBooks Online
  • Enter purchase orders, order parts, post bills, and track vendor activity
  • Maintain and follow up on customer balances and overdue accounts
  • Assist in scheduling appointments, maintaining technician schedules, and tracking job statuses
  • Communicate with customers regarding job progress, follow-up calls, and service satisfaction
  • Maintain an organized, clean office environment, including desks and floors
  • Contribute to daily operations briefings with the business owner
  • Ensure accurate invoice delivery and tracking using QuickBooks email alerts
  • Perform other related duties as required to support operational needs

Preferred Skills include:

  • Proficiency in QuickBooks Online
  • Strong organizational, communication, and multitasking skills
  • Attention to detail and accountability for tracking project progress
  • Service industry experience, particularly with technical or mechanical services
  • Willingness to learn terminology related to marine services and boat parts
  • Familiarity with Google Drive, Docs, Sheets, and shared calendars
  • Strong follow-through, initiative, and commitment to being part of a team

Requirements include:
High school diploma or equivalent

Must be reliable, punctual, and able to commit to the posted hours

Ability to provide 2 professional reference

Willingness to submit to a pre-employment background check
