SELECTION PROCEDURES

Only online applications will be accepted: This is a Promotional and Open recruitment to establish an eligibility list and fill vacancies. The eligibility list will be used to fill permanent vacancies which may occur during the life of the eligibility list. In a promotional and open recruitment, the promotional list shall take precedence. When the promotional list contains fewer than three eligible and willing employees, certification of additional ranks shall then be made from the open list. Positions in this classification are full-time, 40 hours per week, 12 months per year. The recruitment process will consist of a written and an oral technical interview, which is tentatively scheduled during the weeks of July 7 - 25, 2025 . BASIC FUNCTION:
Under the direction of an assigned supervisor, perform a variety of responsible and specialized clerical and typing work in support of an assigned District function; provide work direction and guidance to student assistants and other clerical personnel as assigned. DISTINGUISHING CHARACTERISTICS: The Senior Clerical Assistant performs specialized clerical duties or provides sole clerical support for an assigned function. Incumbents are required to exercise independent judgment and may be assigned lead duties. Incumbents in the Intermediate Clerical Assistant class provide clerical support to other clerical or secretarial staff and may perform some assignments independently. The Clerical Assistant is the entry-level class in the Clerical Assistant series. Incumbents in this classification perform routine and repetitive general clerical duties requiring minimal previous experience. Duties are performed with specific instructions and under close supervision.FUNCTION & DUTIES
Perform technical responsibilities related to assigned function such as compiling information from a variety of sources and preparing complex reports as required by District, County, State or federal regulations; communicate with other agencies or departments to provide or obtain a wide variety of information. E Receive and screen phone calls and visitors; provide information and direct inquiries and visitors to the proper person or office; provide technical information concerning policies and procedures of assigned program or office according to established guidelines. E Compose correspondence either independently or from oral instructions; prepare letters, memos and forms, requesting or providing information and letters concerning District information. E Prepare, type and duplicate a variety of items including proposals, contracts, reports, agendas, minutes and student records. E Maintain master schedule; coordinate and communicate with others regarding meetings, appointments, activities or announcements; schedule and coordinate meetings, conferences and workshops as assigned including assembling, typing and duplicating materials. E Maintain financial and statistical records as required by the assignment; compile and organize information; prepare lists, files and other materials. E Provide specialized information to others and serve as a resource regarding assigned program or function. E Collect and account for fees and other monies received as assigned; monitor and maintain office or program budget according to established guidelines; type requisitions and process invoices according to established procedures. E Assure timely distribution and receipt of a variety of records and reports; request or provide information as necessary to assure completeness and accuracy. E Operate a variety of office machines such as typewriter, computer, calculator, copy machine, and equipment as required by the assignment; operate dictation equipment to transcribe correspondence, reports and other materials as assigned. E Receive, screen and route mail. E Maintain confidentiality of a variety of sensitive materials and information. E Receive and verify applications for services; recommend status of eligibility for prospective program participants as assigned; maintain records such as enrollment, attendance and absence verification. E Prepare and maintain detailed and complex logs, files and records; maintain inventory; order supplies and materials as assigned. Train and provide work direction and guidance to student assistants and other clerical personnel as assigned. Perform related duties as assigned. Note: At the end of some of the duty statements there is an "E" which identifies essential duties required of the classification.
EDUCATION AND EXPERIENCE, LICENSES AND OTHER REQUIREMENTS
Any combination equivalent to: graduation from high school including or supplemented by business courses and three years of increasingly responsible clerical experience. LICENSES AND REQUIREMENTS: Some positions in this class may be required to utilize a second designated language. Some positions in this class may require a valid California driver's license.

The District offers two excellent medical plans, Blue Shield and Kaiser Permanente ; two dental plans, Delta Dental and MetLife SafeGuard ; and vision care through Vision Service Plan (VSP). Currently full-time employees (employees working 6 hours or more per day) pay 20% of the premium cost for these plans. All plans are available to the employee and their dependents. This coverage is available to employees working a minimum of 20 hours per week.
