Customer Service Coordinator

Ultimate Staffing is partnering with a growing company in Irvine to hire a Customer Service Coordinator. This is a 100% onsite opportunity offering up to $35.00 per hour.

The ideal candidate will have strong customer service and inventory management experience, along with advanced Excel skills, including the ability to manage large data sets, perform VLOOKUPs, create and analyze Pivot Tables, and maintain complex inventory spreadsheets.

Responsibilities:

  • Manage incoming EDI/manual orders to fulfillment and resolve any discrepancies.
  • Enter orders accurately and promptly.
  • Review data for deficiencies or errors, correct any incompatibilities if possible and check output.
  • Monitor inventory and projections on need.
  • Respond to customer inquiries via phone, email, and chat in a timely and professional manner.
  • Provide detailed information about products, services, and company policies.
  • Handle and resolve customer complaints efficiently and effectively.
  • Process customer orders and manage order entry in the system.
  • Coordinate with the production and logistics teams to ensure timely and accurate order fulfillment.
  • Monitor order status and provide updates to customers as needed.
  • Maintain a thorough understanding of our products, including types, sizes, packaging, and storage requirements.
  • Investigate and resolve product or service problems by clarifying the customer's complaint, determining the cause, selecting, and explaining the best solution, and following up to ensure resolution.
  • Maintain detailed and accurate records of customer interactions, transactions, comments, and complaints.
  • Work closely with sales, production, and logistics teams to ensure seamless customer service.


Qualifications:

  • Proven customer service experience, preferably in a manufacturing or food production environment.
  • Experience with data entry.
  • Strong problem-solving abilities and attention to detail.
  • Ability to multitask, prioritize, and manage time effectively.
  • Experience in using Excel: Pivot tables & VLookup and other formulas
  • Requires in-person work Monday - Friday. Based out of Irvine, CA. Overtime hours are expected. Requires coverage for every other weekend and alternate holidays.
