Front Office & Scheduling Manager - Ophthalmology & Optometry Practice (Hiring Immediately)

Tayani Institute is seeking a dynamic, experienced, and highly skilled Front Office & Scheduling Manager to lead operations in our high-volume ophthalmology and optometry practice.

We provide comprehensive ophthalmology, optometry, and oculoplastic services in a fast-paced, multi-location environment with competitive compensation and benefits.

This role oversees front desk operations, call center performance, and provider scheduling to ensure efficient patient flow and an excellent patient experience.

Responsibilities

• Utilize NextGen (required), Google Workspace, Excel, and Phreesia to manage daily operations
• Lead and supervise a front office & scheduling team (approx. 13–20 staff)
• Oversee high-volume call center operations (300+ calls/day)
• Monitor and improve call metrics (missed calls, hold times, scheduling accuracy)
• Build, maintain, and optimize provider templates in NextGen EPM
• Coordinate scheduling across multiple systems (EHR, Google Calendar, internal tools)
• Implement strategies to reduce no-shows and improve patient access
• Oversee insurance verification, authorizations, and referral workflows
• Manage Vision-to-Medical and Medical-to-Vision scheduling processes
• Train, coach, and evaluate front office and scheduling staff
• Resolve complex scheduling issues, overbooks, and patient concerns
• Collaborate with providers and clinical staff to improve workflow efficiency

Requirements (All Are Required)

• 5+ years of medical front office or scheduling management experience
• Ophthalmology experience and optometry experience is a plus
• NextGen EHR/PM proficiency
• Leadership experience (team lead, supervisor, manager, or equivalent)
• Strong understanding of insurance verification and authorization workflows
• Experience managing high call volumes and multi-provider scheduling
• Working knowledge of Google Workspace and Excel

Compensation

Salary: Commensurate with experience, minimum $71,000 annually
