We’re partnering with one of our long-term real estate clients in Irvine who is looking to bring on a polished and highly organized Administrative Assistant to support their operations team. This is a great opportunity to join a professional, fast-paced environment where you’ll be a key part of keeping everything running smoothly day-to-day.
About the Role:
This position will act as the front-facing point of contact for tenants, vendors, and visitors while providing administrative support to the property management and operations team. They’re looking for someone who is proactive, detail-oriented, and enjoys being in a collaborative office setting.
Key Responsibilities:
- Serve as the first point of contact for tenants, vendors, and guests
- Manage incoming calls, emails, and service requests
- Coordinate vendor scheduling, work orders, and follow-ups
- Assist with tenant communications, move-ins/move-outs, and general inquiries
- Maintain office supplies, files, and internal records
- Support reporting, data entry, and day-to-day administrative tasks
- Assist with coordinating meetings, calendars, and office logistics
What They’re Looking For:
- 2 years of administrative, office, or customer service experience
- Real estate or property management experience is a plus (not required)
- Strong communication skills with a professional, friendly presence
- Highly organized with strong attention to detail
- Ability to multitask and stay organized in a fast-paced environment
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with property management systems is a plus
