Office Manager (Part-Time)

The Greek Orthodox Cathedral of Saint Sophia – Los Angeles, California

Position: Office Manager

Status: Part-Time (30 hours per week)

Compensation: $30.00 per hour

Schedule: Flexible and negotiable

Position Summary

The Greek Orthodox Cathedral of Saint Sophia is seeking an organized, professional, and serviceoriented

Office Manager to oversee the daily administrative operations of the Cathedral office. This

individual will work closely with the Dean, clergy, staff, volunteers, and parish leadership to ensure the

efficient operation of the Cathedral while providing exceptional support to parishioners, visitors, and

ministry leaders.

The ideal candidate is highly organized, an excellent communicator, able to manage multiple priorities,

and enjoys working in a collaborative, faith-centered environment.

Essential Responsibilities

Administrative Support

• Serve as the primary administrative support to the Dean and clergy.

• Manage calendars, appointments, meetings, and office scheduling.

• Prepare correspondence, reports, agendas, and meeting minutes.

• Coordinate office communications and maintain administrative records.

• Assist with clergy support and parish administrative needs.

• Help coordinate sacramental scheduling (baptisms, weddings, memorials, funerals, etc.).

Office Operations

• Oversee the daily operation of the Cathedral office.

• Maintain office procedures and improve organizational efficiency.

• Order and manage office supplies and equipment.

• Coordinate maintenance of office equipment, printers, phones, and computers with outside vendors.

• Maintain administrative forms, files, and organizational records.

• Work with outside vendors and service providers.

Human Resources

Provide administrative leadership and support for the Cathedral's human resources functions while

fostering a positive, professional, and collaborative workplace culture. Responsibilities include:

• Coordinate recruitment efforts, including posting positions, scheduling interviews, and assisting with

onboarding.

• Maintain confidential employee personnel files and accurate employment records.

• Assist with employee onboarding, orientation, and offboarding.

• Support performance evaluations by coordinating schedules, documentation, and records.

• Serve as a resource regarding employment policies, procedures, and workplace expectations.

• Assist leadership with HR policies and best practices.

• Promote clear communication, professionalism, and positive employee relations.

• Help ensure compliance with applicable employment laws and organizational policies.

• Coordinate required employment documentation, training, and compliance records.

• Support staff development and organizational effectiveness.

• Assist in maintaining employee handbooks, policies, and administrative procedures.

• Maintain strict confidentiality regarding personnel matters and sensitive information.

Financial & Administrative Support

Working collaboratively with the Parish Bookkeeper, clergy, and parish leadership:

• Coordinate invoice, vendor payment, and related administrative documentation.

• Assist with expense records, reimbursements, and supporting documentation.

• Support budget preparation, tracking, and reporting.

• Coordinate credit card processing and administrative accounting functions.

• Maintain stewardship records, donor databases, and confidential financial information.

• Prepare and submit reports, forms, and documentation for the Greek Orthodox Metropolis.

• Maintain organized records supporting audits, reporting, and accountability.

• Collaborate with clergy, the Parish Bookkeeper, Executive Parish Council, and ministry leaders.

Technology & Communications

Coordinate with outside technology vendors to support office software, computers and printers, phone

systems, email platforms including Mailchimp, and administrative databases.

Huffington Center Administrative Support

• Assist with scheduling and coordination.

• Maintain operational records.

• Support customer service and communication.

• Prepare reports as needed.

Collaboration

• Work collaboratively with clergy, staff, volunteers, parish council leadership, and ministry leaders.

• Participate in staff meetings and assist with parish-wide projects and special events.

• Promote a welcoming, professional, and Christ-centered office environment.

Qualifications

Required

• Bachelor's degree or equivalent professional experience.

• Human Resources experience. •

Minimum 3 years of office management or administrative experience.

• Excellent written and verbal communication skills.

• Strong organization and time management.

• Proficiency in Microsoft Office and Google Workspace.

• Ability to maintain confidentiality and exercise sound judgment.

• Ability to manage multiple projects simultaneously.

Preferred

• Nonprofit, church, or ministry experience.

• Familiarity with donor databases or church management software.

• Experience with Mailchimp or similar platforms.

Compensation & Schedule
