Campus Coordinator

Westside Waldorf School is seeking a dependable, organized, and community-minded Campus Coordinator to support the daily safety, flow, and operations of our campus. This role helps create a safe, welcoming, and well-run environment for students, families, faculty, staff, visitors, and vendors through campus monitoring, visitor support, parking lot coordination, facilities support, and event setup and breakdown.

The Campus Coordinator is a hands-on role for someone who is observant, service-oriented, calm under pressure, and comfortable balancing routine responsibilities with changing campus needs.

Position Summary

The Campus Coordinator supports campus safety, visitor access, parking lot flow, basic facilities needs, and day-to-day campus operations. This position provides campus safety monitoring, access control, visitor support, parking lot coordination, event support, and facilities support.

The Campus Coordinator helps ensure that students, families, faculty, staff, visitors, and vendors experience a safe, welcoming, organized, and professional campus environment. The role requires sound judgment, calm communication, attention to detail, practical problem-solving, and the ability to respond appropriately to routine needs, immediate facilities concerns, and emergency situations.

This position reports to the Operations Manager and Early Childhood Administrator.

Key Responsibilities

Campus Safety, Access Control, and Visitor Support

  • Support campus safety and access control throughout the school day.
  • Remain stationed at or near assigned entrances to support visitor protocols and campus access.
  • Greet students, families, employees, visitors, and vendors in a professional, warm, and welcoming manner.
  • Maintain accurate visitor logs and communicate visitor arrivals to the appropriate staff.
  • Follow established visitor check-in procedures and campus access protocols.
  • Use walkie-talkie, email, and other school communication tools effectively and professionally.
  • Conduct on-foot campus and perimeter walkthroughs.
  • Observe campus activity and promptly report safety concerns, hazards, maintenance needs, incidents, or unusual activity.
  • Maintain calm, professional communication in routine and urgent situations.
  • Know when to ask for assistance and when to involve leadership, administration, or emergency services.

Parking Lot and Arrival/Dismissal Support

  • Support safe and efficient parking lot flow during arrival, dismissal, events, and other high-traffic times.
  • Direct visitors, families, vendors, and staff to parking areas in a courteous and professional manner.
  • Maintain a visible, helpful, and professional presence in outdoor campus areas as assigned.
  • Communicate parking lot concerns or safety issues to appropriate school staff.

Facilities and Campus Operations Support

  • Respond to immediate facilities needs on campus.
  • Complete daily facility walkthroughs and note potential repair needs, hazards, or maintenance concerns.
  • Communicate maintenance observations and facilities needs clearly and promptly.
  • Assist with basic maintenance and repairs, including the safe use of basic hand tools and equipment appropriate to the role.
  • Support neat, orderly, and safe campus conditions.
  • Assist with setup and breakdown for meetings, school events, festivals, assemblies, open houses, and other campus activities.
  • Support operations projects and campus tasks as directed by the Operations Manager.
  • Perform other related duties as assigned to support school operations.

Professional Judgment and Communication

  • Use sound judgment when responding to routine and unexpected situations involving students, families, colleagues, visitors, vendors, and school operations.
  • Think ahead, anticipate needs, and prepare for campus coverage, event support, visitor flow, parking lot needs, facilities needs, and required records.
  • Respond to concerns with professionalism, discretion, calm communication, and care.
  • Adapt to changing priorities, schedules, student needs, event needs, weather conditions, and workplace conditions.
  • Recognize when independent action is appropriate and when guidance from leadership or administration is needed.
  • Maintain clear and appropriate boundaries with families and staff by keeping communication aligned with the school’s role, policies, and capacity.
  • Protect student and family confidentiality at all times by using proper school channels for communication and not discussing private student or family information with individuals who are not directly involved in supporting the student.
  • Demonstrate cultural responsiveness by recognizing, respecting, and supporting the diverse backgrounds, identities, experiences, and needs of students and families.

Required Qualifications

  • Prior experience in campus operations, school support, facilities, security support, visitor services, or a related role preferred.
  • Strong communication, organization, and problem-solving skills.
  • Ability to remain calm, observant, and professional in a busy school environment.
  • Comfortable using email, radios/walkie-talkies, and basic workplace technology.
  • Ability to safely perform routine physical and maintenance-related tasks.
  • General maintenance and handyperson skills preferred.
  • Ability to safely use basic tools and perform basic maintenance tasks.
  • Valid California driver’s license and insurable driving record, if driving is required for the role.
  • Ability to complete and maintain background clearances, health clearances, and trainings required by law and/or school policy.
  • Ability to work independently while knowing when to request assistance or escalate concerns.
  • Ability to comply with applicable school policies, procedures, and legal requirements.
  • Neat and professional appearance.
  • Knowledge of or willingness to learn school safety systems and safety protocols.

Required Clearances, Certifications, and Trainings

The employee may be required to obtain and maintain the following, as applicable to the role:

  • Live Scan background clearance.
  • Current TB clearance.
  • MMR and Pertussis vaccination records, as applicable.
  • Pediatric CPR/First Aid certification.
  • Annual State of California Mandated Reporter Training.
  • Valid California driver’s license and acceptable driving record, if driving is required for the role.
  • Other trainings, certifications, or clearances required by Westside Waldorf School or applicable law.

Schedule, Compensation, and Benefits

This is a full-time, hourly, non-exempt, on-site position for the 2026–2027 school year.

The regular schedule is expected to be Monday through Friday, either 7:30 a.m.–4:30 p.m. or 7:45 a.m.–5:00 p.m., depending on school needs. The schedule may include campus support during the school day, entrance coverage, event support, and occasional evening or weekend hours. The role may include coverage at both Santa Monica locations.

This position is currently expected to follow a 10-month work cycle, generally from mid-August to mid-June, with the potential for renewal or adjustment to a 12-month cycle annually based on school needs.

The hourly rate for this position is $24–$27 per hour. Actual compensation will depend on factors such as experience, education, training, skills, qualifications, internal equity, and school budget.

Physical and Sensory Requirements

The physical and sensory requirements below are representative of those that must be met to successfully perform the essential functions of the position, with or without reasonable accommodation.

This role requires regular walking, standing, indoor and outdoor campus coverage, observing and monitoring, speaking and hearing, and the ability to assist with physical campus tasks such as lifting, carrying, moving materials, event setup, and basic maintenance support. The role may require bending, stooping, kneeling, crouching, climbing ladders as needed, safely using basic tools, and lifting or carrying up to 50 pounds.

Work Environment

This position operates in a school, campus, front entrance, parking lot, facilities, and event-support environment. The role requires interaction with students, families, faculty, staff, administrators, visitors, vendors, and members of the broader school community and the public.

  • Moderate noise levels and frequent student, family, staff, and visitor interaction.
  • Frequent interruptions, changing priorities, or immediate campus needs.
  • Indoor and outdoor campus conditions as applicable.
  • Front entrance and access-control duties, visitor protocols, parking lot support, and campus patrols.
  • Basic maintenance and repair tasks involving hand tools or other equipment as appropriate.
  • Assemblies, festivals, open houses, meetings, and events outside regular work hours as assigned.
  • Safety monitoring, emergency response readiness, facilities support, and campus coordination responsibilities.
