Admin Assistant - Customer Service

Job Summary:
The ideal candidate is fluent in Spanish who will provide essential support to the Low-Income Weatherization Program (LIWP ) and staff. In this role, you will perform a variety of clerical and administrative duties, including processing job orders, managing office supplies, preparing reports, and assisting with crew scheduling. As the first point of contact in the office, you will deliver excellent customer service to both internal team members and external clients. Additionally, this position may involve occasional fieldwork, such as picking or delivering documents to various jurisdictions.
Duties and Responsibilities:
· Successfully complete all required training (per Scheduler Training Plan) before beginning work and as outlined in the plan.
· Prepare and distribute the daily schedule for Weatherization Specialists, including rework assignments as needed.
· Collaborate and assist with scheduling work crews at residential locations.
· Possess and maintain a working knowledge of the LIWP Manual and energy program requirements.
· Ensure all administrative work and required documentation are completed accurately and on time.
· Assist in developing written program materials, policies, procedures, and work standards.
· Communicate effectively with administrative and leadership teams to support workflow and program goals.
· Assist in coordinating work across departments and teams to ensure contractual outcomes and program KPIs are achieved.
· Maintain continuity by documenting and communicating actions, irregularities, and ongoing needs.
· Participate in required meetings and training sessions to stay current with program requirements and company standards.
· Maintain a safe, clean, and organized work environment in compliance with all policies and regulations.
· Report to work prepared and on time, contributing to a positive and productive team environment.
· Perform other related duties as assigned.
Qualifications:
· Must be bilingual in Spanish.
· Excellent Customer Services skills.
· Minimum of 2+ years related experience and/or training; or equivalent.
· Computer literacy required, specifically Excel and other Microsoft Office Products.
· Advanced clerical skills with the ability to type 40 WPM.
· Strong verbal and written communication skills with professional phone etiquette.
· Ability to read, analyze, interpret, and identify, document and report information.
· Self-motivated, detail-oriented, organized, and able to work independently.
Physical Demands:
While performing the duties of this job, the employee is frequently sitting, listening, verbally communicating, and using wrists, hands and fingers to enter data into computer systems. Occasionally required to carry, push, pull, and walk. The employee may also on occasion be required to lift objects up to 25 pounds.
