Position Summary

Job Overview/Purpose

The Assistant Community Manager has a key leadership role with authority, responsibility, and accountability for supporting the Community Manager in overseeing daily property operations, financial administration, and resident relations at a multifamily or senior-living apartment community. The Assistant Community Manager is responsible for maximizing occupancy, ensuring accurate financial and lease records, and enhancing the resident experience while ensuring full compliance with Fair Housing laws, DRE regulations, the Americans with Disabilities Act, the Fair Credit Reporting Act, and other federal and state regulations. This includes, but is not limited to, assisting with leasing, rent collection, budget tracking, resident engagement, and supporting the operational success of the community. The Assistant Community Manager supports property operations, financial administration, and resident relations to ensure a well-managed community. Responsibilities include assisting with leasing, rent processing, compliance, and resident retention while supporting the Community Manager in daily operations. Effectively convey the company’s mission by ensuring the team is customer-focused and provides the best service to co-workers, prospects, residents, guests, and vendors at every point of contact while striving to exceed expectations

Job Requirements/Essential Duties

  • Support leasing efforts by showcasing apartments and community amenities to prospective residents.
  • Maintain knowledge of competitive properties, conducting market surveys to adjust leasing strategies as needed. Assist in preparing newsletters, event materials, and promotional flyers.
  • Serve as a point of contact for resident inquiries, requests, and concerns.
  • Help facilitate resident retention efforts, including renewal notices and follow-ups.
  • Work closely with the maintenance team to ensure service requests are addressed promptly.
  • Plan and execute community events to foster resident engagement.
  • Maintain proactive communication with residents to enhance customer satisfaction.
  • Maintain proficiency in Yardi and CRM IQ systems by staying current on updates, features, and tools, and utilizing system functionality to support leasing performance, accounting accuracy, operational efficiency, and data integrity.
  • Process, record, and deposit rental payments, application fees, and security deposits.
  • Assist in reviewing delinquent accounts and initiating appropriate collection or legal action.
  • Process invoices through PayScan and verify vendor credentialing before scheduling services.
  • Support the preparation of the annual property budget.
  • Maintain accurate financial records using Yardi software and assist in financial reporting.
  • Maintain accurate resident files and lease agreements in compliance with Fair Housing, DRE regulations, and all local, state, and federal laws.
  • Conduct credit and reference checks on prospective residents.
  • Ensure timely renewals and lease compliance.
  • Oversee resident move-in and move-out processes, ensuring adherence to lease terms.
  • Assist in preparing deposit accounting and security deposit reconciliations.
  • Conduct regular property walks to ensure community cleanliness and curb appeal.
  • Enforce community policies and lease terms, addressing resident concerns as needed.
  • Ensure compliance with safety protocols and emergency procedures.
  • Be available to work flexible work schedules, including weekends and evenings, as required.
  • Ensure a professional and organized office environment.
  • Assist in managing resident communications, notices, and incident reporting.
  • Other duties as assigned.

Knowledge Skill & Abilities/Prerequisites

  • High School or General Education Development (GED) equivalent
  • Minimum of two (2) years of experience in multifamily/property management.
  • A clean DMV report and background check.
  • Ability to comprehend, apply, and comply with all state and fair housing laws, company policies, and business procedures.
  • Effective and professional communication in English with staff, supervisors, and residents through verbal, written, and Microsoft Office Suite, and use of cellular phone.
  • Ability to perform the physical functions of the position, which may include, but are not limited to sitting, standing, bending, walking the property, including a minimum of two flights of stairs, to complete inspections, and deliver resident communications.
  • Ability to evaluate opportunities to streamline workflows using AI, including identifying repetitive tasks suitable for automation.
  • Ability to use AI to draft announcements, communication templates, tenant notices, and report summaries while maintaining accuracy and professional tone.
  • Ability to critically review and verify AI-generated content for accuracy, confidentiality, compliance, and alignment with the Towbes Group standard.
  • Ability to work independently and prioritize effectively in a challenging environment.

Ability to create and/or write reports, business correspondence, and/or procedural manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

Mathematical Skills and Reasoning Ability

Ability to calculate figures and perform basic math functions. Ability to interpret various instructions furnished in written, oral, or schedule form.

Physical Demands and Work Environment

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel objects, repetitive wrist movements, talk, hear, walk, and sit. The employee is occasionally required to stoop, kneel, or crouch. The employee may be required to stand for extended periods. The employee may occasionally lift, push, pull, carry, and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and the ability to adjust focus. The noise level in the work environment is usually moderate.
