Executive Assistant - Real Estate (San Francisco)

NAI Northern California is a commercial real estate brokerage with offices in San Francisco, Oakland, and San Jose. We are seeking an Executive Assistant of Real Estate to join our Brokerage team, providing leadership, support, and operational expertise to drive business initiatives forward. The ideal candidate will have experience in the commercial real estate industry or as an Office Manager or Executive Assistant.

This position requires prioritizing projects to meet multiple deadlines in a fast-paced, team-oriented environment, under the direction of the Chief Operations Officer. Responsibilities include leading company policies, procedures, and best practices, managing specific portions of larger projects, and ensuring compliance with all processes, protocols, and software. Attention to detail and high-level service are crucial.

The role acts as a liaison between departments, requiring strategic thinking about business needs and process improvements. It offers exposure to all aspects of the business in a high-visibility, growing market. We foster a culture of trust, teamwork, diversity, and professional growth.

Key Responsibilities:

  • Work directly with the COO
  • Perform HR duties (hiring, onboarding, training, offboarding)
  • Partner with Accounting to meet budget and financial goals
  • Review commissions and ensure accurate, timely payments
  • Support brokers with business activities
  • Oversee contract reviews (purchase agreements, disclosures, etc.)
  • Coordinate IT and telecommunications issues
  • Collaborate across departments (marketing, recruitment, finance, etc.)
  • Ensure compliance with policies and regulations
  • Stay informed on legal issues including E&O
  • Maintain proficiency in required software (Adobe Creative Cloud, Google Suite, Salesforce, etc.)
  • Promote learning and development for self and team
  • Support corporate culture, recognition, and engagement initiatives
  • Communicate operational issues and recommend solutions
  • Lead virtual departmental meetings
  • Manage infrastructure projects and office events
  • Assist with strategic planning and process improvement

Qualifications:

  • Must be located in the Bay Area, California
  • Experience supporting the real estate industry is a plus
  • Bachelors or Associates Degree preferred
  • Minimum three years of business experience
  • Salesforce experience is a plus
  • Strong ethics, confidentiality, and professionalism
  • Excellent organizational, interpersonal, and communication skills
  • Ability to multitask in a fast-paced environment
  • Proactive, flexible, and motivated
  • Attention to detail and tactful communication
  • Proficiency in Google Workspace and company-specific software
  • Quick learner and adaptable to change
