Job Overview

TP-Link Systems Inc. is seeking an experienced Executive Assistant to provide comprehensive administrative, executive communication, and project & priority management support to the CEO. This role is responsible for ensuring the CEO’s day-to-day activities, communications, and projects are executed smoothly, professionally, and with consistent follow-through across multiple workstreams.

This is a hands-on Executive Assistant role that blends traditional EA responsibilities with strong project management ownership. The successful candidate will be dependable, proactive, and comfortable driving execution—not just coordination—in a fast-paced, onsite environment.

Success in this role requires strong project management instincts, sound judgment, and comfort driving follow-through without constant direction.

Requirements

Executive Administrative Support

  • Manage the CEO’s calendar, travel arrangements, and meeting logistics, ensuring tasks are prioritized and followed up efficiently.
  • Handle day-to-day executive correspondence, documents, and administrative needs.
  • Anticipate CEO’s requirements and proactively streamline workflow to maintain operational momentum.
  • Manage sensitive and confidential information with discretion, ensuring proper access control and secure handling.

  Executive Communication Support

  • Prepare PowerPoint presentations and executive messaging aligned with company strategy and the CEO’s voice for board meetings and internal communications.
  • Produce clear, concise, and professional written communications, ensuring accuracy, executive-appropriate tone, and alignment with the CEO’s messaging style.
  • Draft, review, and edit business communications including emails, memos, reports, and executive summaries.

  Project Management

  • Own day-to-day tracking of CEO-led projects, initiatives, and action items across multiple workstreams
  • Translate high-level direction into organized task plans, timelines, and clearly defined priorities
  • Maintain project trackers, status updates, and follow-up lists to ensure commitments are executed
  • Proactively follow up with internal teams and external partners to drive progress and closure
  • Identify risks, delays, or gaps early and escalate appropriately to prevent missed deadlines

Work Schedule & Availability

  • Onsite position based in Irvine, CA
  • Monday–Friday, full-time
  • Flexibility required, including availability some days until approximately 7:00pm
  • Occasional schedule adjustments may be required based on business needs

Qualifications

  • Bachelor’s degree required
  • 5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting senior leadership
  • Demonstrated experience managing executive-level projects, action tracking, and cross-functional follow-through
  • Strong experience with calendar management, executive communications, and meeting preparation
  • Excellent written communication skills with attention to tone and accuracy
  • Ability to manage multiple priorities and shifting deadlines
  • High level of discretion, professionalism, and judgment
  • Ability to work independently and anticipate needs
  • Proficiency with Microsoft Office

Preferred Attributes

  • Strong project management mindset with a bias toward execution
  • Comfortable working onsite and closely with senior leadership
  • Calm, organized, and decisive under pressure
  • Strong interpersonal and follow-through skills

Benefits

Salary range: $100K - $120K annually + Bonus (depending on experience)

  • Free snacks and drinks, and provided lunch on Fridays
  • Fully paid medical, dental, and vision insurance (partial coverage for dependents)
  • Contributions to 401k funds
  • Over four weeks of PTO per year
  • Bi-annual pay increases
  • Health and wellness benefits, including free gym membership.
  • Quarterly team-building events
