Accounts Payable Specialist & General Cashier

SUMMARY
An Accounts Payable Clerk / General Cashier is primarily responsible for handling cash transactions and maintaining accurate records of financial transactions within a business. They ensure efficient and accurate processing of guest purchases, manage cash drawers, and will be preparing bank deposits, managing petty cash, and monthly bank audits. To maintain a system of purchase orders, receipts, invoices, and check requests.
ESSENTIAL FUNCTIONS
1. Ensure that the processing of all invoices is completed properly for all four entities.
2. Process checks for payment of all invoices as necessary.
3. Maintain complete and accurate files to handle vendor inquiries.
4. Reconcile vendor statements and solve any discrepancies.
5. Performs monthly audits of the cash banks
6. Maintains an accurate log to ensure terminated associates are removed from the cash bank contracts.
7. Completes daily deposits.
8. Ensure proper levels of change are kept on hand and submit requests for change orders
9. All change orders are to be recorded on the appropriate deposit log as well as completing a deposit slip and checking recording forms according to the established procedures.
10. Change orders are to be sent to the bank with regular hotel deposits

12. Any change order must result in a corresponding deposit log being made in the same amount and day as the change order
13. Collect cash from all drop safes daily
14. Issues banks/keys and maintains list of issued house banks
15. Maintains bank key inventory
16. Maintains back up of daily deposits
17. Keeps track of all cash variances
18. Send out over/short reports daily
19. Document errors made by cash handling associates daily by maintaining/monitoring
20. Cash over/short journal entries at month end
QUALIFICATIONS
Required
1. Must be willing to work a flexible schedule to accomplish all major responsibilities and tasks.
2. Must have adequate experience in Accounts Payable processing and have an understanding of General Ledger accounting and how the A/P function has an impact on financial statements.
3. Must be able to meet strict deadlines in order to ensure that all A/P procedures are being met.
4. Must be a self-starter and possess the ability to handle projects and tasks with minimal supervision.
Desirable
1. Previous accounting experience in the hospitality industry is strongly desired.
SKILLS
Required
1. Ability to work with computers and software and perform data entry in frequent duration.
2. Ability to perform basic and some intermediate functions of MS Excel.
3. Ability to effectively communicate in English with vendors and staff to their understanding
4. Knowledge of general accounting principles and procedures.
5. Proficiency in data entry and time-management skills.
6. Ability to organize and prioritize.
7. Ability to maintain attention to detail.
8. The ability to maintain confidentiality of our guests and clients.
9. Ability to solve problems and multi-task.

PHYSICAL DEMANDS
1. Frequent or occasional need to perform the following physical activities: reaching, bending, pushing, pulling, twisting, lifting, and climbing.
2. Ability to sit for long periods of time
3. Ability to type using keyboard for majority of work day
4. Constant need to perform the following physical activities: grasping, turning, finger dexterity.
5. Lifting/carrying up to 10 lbs. frequently and 25 lbs. occasionally.
6. Vision requirements: constant need to view small print. Frequently need to see small details and things clearly beyond arms’ reach.
7. Hearing requirements: constant need to speak on the telephone and/or two-way radio, respond to general public and converse with staff. Ability to hear fire alarms and emergency equipment.
