Position Details:
- Salary Range: $82,000 - $95,000 annually
- Full-Time, Exempt
- 40 hours per week
- Fully Onsite Position in Hayward, CA
Essential Job Responsibilities:
- Maintain the President's calendar, schedule meetings, coordinate travel, and assist with event planning and logistics.
- Serve as the first point of contact for the President's Office, welcoming visitors, fielding inquiries, and supporting internal and external communication.
- Prepare, edit, and distribute a variety of documents, including reports, presentations, meeting agendas, and confidential correspondence.
- Coordinate and oversee projects and initiatives as assigned by the President, ensuring timely completion and alignment with strategic goals.
- Act as a liaison between the President and internal departments, students, and external stakeholders, handling sensitive matters with discretion.
- Organize and maintain files, records, and confidential information in accordance with institutional procedures.
- Provide staff support for campus meetings and committees, including preparing materials, taking notes, and ensuring follow-up on action items.
- Assist with tracking budget expenditures and preparing expense reports related to the President's Office activities.
Qualifications:
- Bachelor's degree required; Master's degree or equivalent experience preferred.
- Minimum of five (5) years of progressively responsible experience in executive-level administrative support, preferably in a higher education or complex organizational setting.
- Exceptional organizational skills with strong attention to detail, follow-through, and the ability to manage multiple priorities.
- Superior written and verbal communication skills, with the ability to draft, edit, and proofread professional correspondence and documents.
- High-level interpersonal skills with the ability to build effective working relationships and handle sensitive matters with discretion and diplomacy.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Sheets, Calendar, Gmail), and general office technology.
- Comfortable learning and using new software platforms and digital tools to enhance workflow and productivity.
- Strong keyboarding skills with a high degree of accuracy.
