About the RoleWe are seeking a highly organized and detail-oriented Order Processing & Fulfillment Specialist to manage customer orders from entry through shipment.Approximately 80% of this position is focused on entering, reviewing, processing, and tracking orders using our accounting/ERP software. The remaining 20% includes customer communication, shipment coordination, documentation, and general office support.This is a hands-on, transaction-focused role for someone who enjoys working with detailed order information, maintaining accurate records, resolving discrepancies, and ensuring that orders move through the fulfillment process correctly and on time.The ideal candidate is comfortable spending most of the workday processing orders in an accounting or ERP system. Success in this position requires accuracy, consistency, urgency, and strong follow-through.Location: Los Angeles, near the Alhambra borderSchedule: Monday–Friday, 7:30 a.m.–4:00 p.m., with a 30-minute lunchPrimary Responsibilities: Order Processing and FulfillmentEnter and process customer orders, quotes, and related transactions using accounting/ERP softwareReview orders for accurate customer information, product numbers, quantities, pricing, shipping instructions, and payment termsConfirm product availability and coordinate order requirements with production, shipping, sales, and accountingMonitor orders from entry through fulfillment and shipmentIdentify and resolve missing information, pricing discrepancies, inventory issues, and other order exceptionsMaintain accurate customer, product, pricing, and order recordsCommunicate backorders, expected ship dates, order changes, and delivery updatesPrepare shipping documentation and coordinate shipments through USPS, UPS, FedEx, and other common carriersObtain and provide shipment tracking information to customers and field representativesEnsure orders and supporting documents are complete, accurate, and properly filedFollow up on open orders and outstanding issues until they are resolvedSecondary ResponsibilitiesRespond to customer questions by phone and emailPrepare and send SDS documents, product literature, and labeling informationAssist with incoming calls, mail, filing, office supplies, and related administrative tasksSupport sales, accounting, production, logistics, and field service teams as neededPerform other related duties assigned by managementWhat We're Looking ForHighly accurate: You carefully review order details and catch discrepancies before they affect customers or shipmentsProcess-oriented: You are comfortable following established procedures and completing recurring transactional workOrganized: You can manage a high volume of orders, follow-ups, and deadlines without losing track of detailsAccountable: You take ownership of orders and follow issues through to resolutionSelf-directed: You can prioritize routine work and resolve common problems with minimal supervisionResponsive: You communicate clearly and promptly with customers and internal teamsComfortable with repetition: You understand that most of the position involves daily order entry, order review, and fulfillment follow-upMinimum QualificationsExperience processing customer orders in an accounting, ERP, order-management, or inventory systemStrong understanding of the order-to-fulfillment process, including order entry, pricing, inventory, shipping, and trackingDemonstrated ability to enter and review detailed information with a high level of accuracyExperience coordinating with shipping, accounting, sales, production, or warehouse teamsStrong written and verbal customer-service skillsProficiency in Microsoft Outlook, Excel, and WordAbility to manage multiple orders and competing deadlines independentlyPreferred QualificationsExperience in a manufacturing, distribution, wholesale, industrial, or product-based businessExperience processing a high volume of ordersFamiliarity with Adobe AcrobatExperience preparing carrier shipments and shipping documentationExperience handling backorders, pricing discrepancies, and customer-specific order requirementsBenefitsMedical, dental, vision, and life insurance, with 94–100% of employee premiums covered on select plansTraditional pre-tax and Roth 401(k) plans with an employer Safe Harbor matchPaid time off and sick timePaid federal holidaysWhy Join Us?Stable, full-time weekday scheduleCollaborative and team-oriented workplaceOpportunity to take ownership of the order processRegular interaction with sales, production, accounting, shipping, logistics, and field service teamsGrowing company with long-term employment opportunitiesIf you have strong order-processing experience, enjoy detailed transactional work, and take pride in ensuring orders are completed accurately and on time, we encourage you to apply.
