Litigation Secretary
Salary: $85,000 - $114,321
La Jolla (UTC Area), CA | Full-Time | Hybrid (3 Remote Days / 2 In-Office Days)
A respected labor and employment law firm in the La Jolla/UTC area is seeking an experienced Litigation Secretary to provide comprehensive support to attorneys handling state and federal civil litigation matters. This role is ideal for a highly organized legal professional who thrives in a fast-paced environment, understands the litigation lifecycle, and is committed to delivering exceptional client service.
Following an initial onsite training period, this position offers a hybrid schedule with three remote days and two in-office days per week.
Top Three Things We're Looking For
1. State & Federal Civil Litigation Experience
- Strong understanding of California state and federal court procedures.
- Experience preparing document shells, formatting and finalizing pleadings, motions, briefs, and discovery documents.
- Ability to locate, interpret, and apply court rules and filing requirements.
2. Docketing & Calendaring Expertise
- Experience calculating and maintaining litigation deadlines.
- Knowledge of court rules, scheduling orders, and filing requirements.
- Ability to manage attorney calendars and track critical case deadlines.
3. Teachability & Flexibility
- Positive attitude and willingness to learn.
- Adaptability in a fast-paced legal environment.
- Strong team player with excellent communication skills.
Key Responsibilities
- Prepare, revise, proofread, and format pleadings, motions, briefs, correspondence, discovery, and other legal documents.
- Electronically file documents in California state and federal courts.
- Maintain litigation calendars, monitor deadlines, and manage attorney schedules.
- Coordinate depositions, hearings, mediations, and other litigation-related events.
- Schedule court reporters, videographers, and other litigation vendors.
- Communicate with court personnel, clients, opposing counsel, and service providers.
- Assist with all phases of litigation, including discovery, motion practice, and trial preparation.
- Maintain and organize client files and case records.
- Process attorney time entries, expense reimbursements, and travel arrangements.
- Review vendor invoices and coordinate payment requests.
- Provide professional and responsive administrative support to assigned attorneys.
Qualifications
Required
- Minimum of 5 years of Litigation Secretary or Legal Secretary experience.
- State and federal civil litigation experience.
- Familiarity with California court rules and procedures.
- Experience supporting attorneys throughout the entire litigation process.
- Strong discovery support experience.
- Proficiency with Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Experience with electronic filing systems including PACER and ECF.
- Strong proofreading, organizational, and time-management skills.
Preferred
- Labor & Employment litigation experience.

Compensation & Benefits
Salary: $85,000 - $114,321 annually
