Job Opening ID: 60904 Reports To: UCI Temporary Employment Services (TES) Manager Working Title: Temporary Museum Office Manager Department: UCI Temporary Employment Services (TES) Department Bargaining Unit: CX FLSA: Non-Exempt Job Code: 004263 Job Location: UCI Campus - Irvine Percent of Time: 49% Work Schedule: 8am-5pm, M-F Employee Class: Floater Position Summary: This recruitment is for a Temporary Office Manager position through UCI's internal temporary staffing service. This position is located on the UC Irvine campus within the Langson Institute & Museum of California Art.Duties include, but are not limited to:
- Serve as the point of contact for the Principal Finance Analyst and the Executive Business Office (operations, payroll and finance teams).
- Oversee mail and document distribution, work with Senior Payroll and Operations Analyst on keys and card access.
- Initiate work orders for OIT and Facilities Management.
- Coordinate and manage student employee schedules as needed.
- Make travel arrangements for Museum Director and other Langson IMCA leadership.
- Initiate all KFS actions including, but not limited to business meeting expenses, travel reimbursements, purchases.
- Order supplies, catering, deliveries, as needed.
- Serve as backup for Executive Assistant/Project Analyst.
- Provide research and administrative support for Deputy Director of marketing, donor relations, and art museum-related projects.
- Bachelor's degree
- Heavy calendaring experience.
- Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, organizational skills, effective verbal and written communication skills, sound judgement, and decision making.
- Ability to function effectively as a member of a team and adapt to changing priorities.
- Previous Museum experience.
- Experience with purchasing and reimbursements
- KFS Financial system experience
