Accounts Payable Clerk

SUMMARY :
The AP Clerk is responsible for ensuring the timely and accurate processing of invoices, payments, and vendor documentation. This position plays a critical role in maintaining the financial integrity of the organization through thorough auditing, reconciliation, and communication with internal departments and external vendors.
ESSENTIAL JOB FUNCTIONS:
- Audit all incoming invoices for accuracy, completeness, and proper approvals prior to processing.
- Enter group billings into the system as needed, ensuring accuracy and compliance with internal standards.
- Prepare and process check runs for all approved invoices, ensuring timely payments in accordance with company policies.
- Research past due invoices and reconcile vendor statements to resolve discrepancies and maintain positive vendor relationships.
- Prepare all necessary paperwork and maintain spreadsheets for R&R draws.
- Manage the new vendor certification process, ensuring all required documentation is completed and verified prior to approval.
- Maintain a current and accurate vendor list, including updates to contact information, tax documentation, and payment preferences.

Requirements
- High school diploma or equivalent required; associate degree in Accounting or related field preferred
- 2+ years of experience in accounts payable or general accounting
- Proficient in Microsoft Excel and accounting software, Yardi and Nexus preferred
WORKING CONDITIONS:
While performing the duties of this job, the employee is regularly required to walk, stand and use hands to handle/lift objects. The employee occasionally must be able to lift to fifty (50) pounds. Additionally, the employee, on occasion, must crouch, kneel, or climb stairs.
Most work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. This position requires substantial movements (motions) of the wrists, hands and/or fingers. Must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Must have the ability to walk short distances.
