Development Administrative Assistant
The principle function of the Development Administrative Assistant will assist the Development and Communications Team by providing administrative support including:
Administrative and Department Support:
- Process Thank You Letters and coordinate signatures and mailings
- Update Donor Records on Raisers Edge including new gifts, name changes, mailing updates, etc.
- Maintain donor contact lists and update records on Constant Contact and Raisers Edge
- Draft and process Check Requests
- Coordinating logistics such as meetings, phone calls
- Schedule Zoom meetings
- Take meeting minutes for Department meetings and Board Meetings
- Prepare edit and/or proof read documents, memos, emails, letters, etc.
- Calendar Management
- Order and organize office supplies as needed
- Create and send Fed Ex mailings and schedule pick ups
- Manage subscriptions and submit Purchase Orders (P.O) when applicable for: Grant Tracker+, Raiser's Edge, Constant Contact, etc.
- Organize Department Procedure Binders for Grants, Board, Communications, Events, Audits and other as needed
- Assist with Reach Out and Read (ROR) program coordination including book donations and book deliveries to clinic sites
- Create and keep up to date contact lists for grants, political contacts, agencies and other key contacts
Board of Directors Support:
- Attend Board Meetings and type draft Board Meeting minutes and submit for review and approval
- Send out Board email and Constant Contact meeting invites and reminders
- Call Board prior to monthly meetings & log RSVPs
- Process monthly Board consumer members check requests
Grants Administrative Duties:
- Assist with filing new submitted grants with all documentation (narrative, budget & attachments) into Development Grant Binder Annual as needed
- Assist with grant forms, letters of support, attachments and other grant related support materials as needed
Fundraising Events:
- Assist with coordination, planning, and organization of event logistics for special events
- Create sponsorship letters for approval and sends out to past and potential new event sponsors
- Participate in all Fundraising Events including coordinating logistics, setup through tear down, volunteer management and other duties as assigned
Other:
- Assist with Volunteer coordination at TCC
- Assist with taking new photos and videos of staff, Board, patients, clinics as needed
Qualifications:
- Associates Degree in related field and/or two (2) years related experience is required . Bachelor's Degree preferred.
- Must be proficient with MS Word, Excel, PowerPoint
- The ability to work independently and in a team environment is required.
- Excellent speaking, writing, problem solving, and organizational skills is required.
- The ability to multitask between projects and meet deadlines is required.
- Must have the ability to maintain a high level of professionalism and confidentiality.
- Ability to provide respectful, empathetic and excellent customer service
- Willingness to work some evenings and weekends to participate in fundraising events and complete special projects
- Demonstrate understanding and commitment to TCC's mission and helping diverse and underserved population in the community
Reports to the Director of Development and Communications
Job Type: Full-time
Pay: $26.00 - $29.00 per hour
