Executive Assistant (Hybrid)
Title: Executive Assistant
Location: Marin County (hybrid)
Compensation: $100,000 - $110,000
Position Summary
The Executive Assistant provides high-level administrative and operational support to senior executive leaders. This role is critical to ensuring effective time management, seamless cross-functional collaboration, and strong internal and external communications.
The Executive Assistant serves as a key liaison across departments, executive leadership, and external stakeholders while supporting communication initiatives and outreach efforts to important audiences.
Reporting Relationship
This position reports jointly to two senior executive leaders.
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive administrative support, including calendar management, scheduling, travel coordination, and expense reporting.
- Coordinate logistics for meetings, events, and organizational gatherings, including agenda preparation, meeting materials, and follow-up action tracking.
- Partner closely with internal teams to ensure alignment, coordination of executive schedules, and smooth day-to-day operations.
- Conduct research and manage special projects as assigned.
- Assist with the preparation, assembly, and distribution of board and leadership meeting materials.
- Support project coordination across departments, ensuring follow-through, accountability, and timely execution of initiatives.
Communications & Relationship Management
- Help ensure timely distribution of key communications and materials to relevant audiences.
- Provide administrative and logistical support for communication campaigns, events, and engagement initiatives.
- Serve as a responsive and service-oriented point of contact for internal and external stakeholders.
- Build and maintain strong working relationships across the organization and with external partners.
- Perform additional duties and special projects as assigned.
Qualifications
Preferred Experience
- Bachelor's degree or equivalent combination of education and professional experience.
- Three or more years of executive administrative support experience.
- Experience supporting multiple senior leaders in a nonprofit, corporate, foundation, or mission-driven environment.
- Familiarity with stakeholder engagement, fundraising, community outreach, or related operational functions is preferred.
- Experience supporting organizational communications, marketing initiatives, or digital content coordination is a plus.
