Position Summary
The Accounts Receivable / Accounting Administrator plays a key role in managing the company’s cash flow by ensuring timely and accurate billing, payment processing, and collections. This position is responsible for maintaining customer accounts, monitoring outstanding balances, and communicating effectively with clients to resolve billing issues. In addition to overseeing the full accounts receivable cycle, this role provides administrative and accounting support to maintain accurate financial records and assist with monthly close activities. The ideal candidate is detail-oriented, proactive, and skilled at balancing accuracy with customer service.

Key Responsibilities
Accounts Receivable (Primary Focus):

• Record customer payments made via ACH and check deposits, and reconcile to bank deposit made.
• Monitor aging reports, follow up on overdue accounts, and manage collections efforts professionally.
• Research and resolve payment discrepancies or billing questions with customers.
• Maintain detailed and accurate customer account records and back ups.
• Work on collections for outstanding invoices less than 60 days.

General Accounting Support:

• Assist with data entry and account coding
• Support the month-end close process by preparing schedules and reports.
• Help maintain organized accounting files and documentation for audits.
• Assist with AP functions as needed.
  • Reconcile bank and credit card transactions when required.
• Order office supplies
• Renew, apply for, and keep track of business licenses
• Ad hoc accounting projects

Qualifications

• Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
• 2+ years of experience in Accounts Receivable or general accounting support.
• Strong understanding of basic accounting principles (debits, credits, reconciliations).
• Proficiency in Microsoft Excel and accounting software (e.g., NetSuite, QuickBooks, Sage, or similar).
• Excellent communication and customer service skills.
• Detail-oriented with strong organizational and time management abilities.

Preferred Skills

• Experience working in a multi-entity or project-based accounting environment.
• Familiarity with AR collections processes and reporting tools.
• Ability to work independently and collaboratively within a team.

Pay:
$23.00 - $24.00 per hour
