RC Administrative Assistant Location Los Angeles, CA : The RC Administrative Assistant provides comprehensive administrative support to the Rolfe/Campbell (RC) Humanities Group, which oversees the Department of Linguistics and Department of Spanish & Portuguese. The incumbent will provide general administrative assistance, which can cover a myriad of diverse administrative duties, for both departments. This will include front office coverage and coordination, student worker oversight and training, day-to-day assistance to staff/faculty/students/visitors/etc., and short-term/long-term special projects. The incumbent will also provide specialized assistance with academic and staff personnel for both departments. This will include assisting the Academic Personnel Officer with preparation of academic personnel files, cases, and dossiers. They will also assist with hiring and payroll processing, such as hiring paperwork (I-9, oath and patent, etc.) and UCPath processing (position updates, hires, payroll transactions, etc.). The incumbent is required to possess knowledge about the issues and priorities of both departments, an understanding of the relationships of department members and visitors, and general knowledge of the campus as a whole. They must possess excellent skills in customer service, organization, prioritization, multi-tasking, and attention to detail. They will split their time in two office locations in two departments located in separate buildings. They will assist with periodic events, some of which may take place after work hours or on weekends. Required Skill in entering heavy numerical or text data on to Excel spreadsheet or other format with speed and accuracy. Required Demonstrated ability to create, design, and maintain web pages using an HTML editor, preferably WordPress. Ability to quickly edit and update web pages on short-notice. Preferred Ability to operate office machinery including computers/laptops, copiers, scanners, and fax machines. Required Skill in organizing materials and information in a systematic way to optimize efficiency and minimize duplication of effort.
