Assistant Director-Recreational Sports
Definition and Purpose
Under the direct supervision of the Director—Recreational Sports, the Assistant Director—Recreational Sports is responsible for the management of the recreation and activity-based programs located within the Cal Poly Recreation Center and oversight of Membership and Pro Shop operations.
Additionally, all ASI employees are responsible for upholding the core values of the organization including but not limited to exhibiting professional behavior, acting as a role model to others, displaying a positive and cooperative attitude, communicating effectively, developing expert knowledge in area of specialization, and working together as a team.
This position is based at the Cal Poly in San Luis Obispo, CA.
Requirements
Educational and Qualifying Experience, Skills, Licenses, Credentials
Educational/License/Credential Requirements
- Graduation from a four-year college or university.
- Master's degree preferred (4 years applicable experience may be substituted for educational requirement).
- Must hold a CA Driver's License a driving record acceptable to ASI insurance underwriters.
Experience Requirements
- Minimum five (5) years of experience that demonstrates the ability to perform the essential functions of the position, preferably in a college or university setting.
- Minimum three (3) years' experience coordinating recreational programming for students, related to areas such as fitness, wellness, personal training, intramurals, aquatics, outdoor education, informal recreation, etc.
- Experience in budgeting and fiscal management.
- Supervisory experience required.
Knowledge/Skill Requirements
- Working knowledge of correct English grammar, spelling, and punctuation.
- General knowledge of office methods, equipment, procedures, and practices.
- Knowledge of Windows-based computer systems.
- Ability to effectively communicate both orally and written; strong public speaking ability.
- Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
- Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations.

Supervisory Responsibilities
- Directly supervise Coordinator I—Recreational Sports, Coordinator I—Fitness Programs, Student Manager—Recreation Center Member Services
- Directly supervise all student staff in Recreation Center Member Services
- Oversee supervision of all subordinate staff in areas of management.
- Facilitate meetings, conduct performance evaluations, establish goals, and monitor day-to-day operations of recreational sports programming.
Essential Duties and Responsibilities
Global Duties and Responsibilities
- Work directly with professional and student staff to best serve Cal Poly students and the campus community members.
- Serve as the primary Recreational Sports liaison to all members of the Recreation Center.
- Develop, analyze, and implement policies and procedures for the Recreation Center.
- Participate in the development of program-wide student staff selection strategy.
- Assist in developing and implementing all program-wide meetings, retreats, and workshops for staff training and development.
- Assist in development, preparation, and monitoring of budget processes.
- Ensure compliance with all ASI, University, State, and Federal policies/statutes.
- Conduct research in order to maintain progressive and innovative systems as they relate to campus recreation programming and student development.
Program Administration
- Directly supervise operations of the Member Services program, including front desk and entrance operations and Pro Shop operations for the Cal Poly Recreation Center.
- Conduct student staff training for Member Services staff, to include customer services training, retail sales training, equipment check-out, class reservations, and overall knowledge of programs and activities.
- Prepare annual budget projections and set financial goals for Membership Sales, Day Pass Sales, and Sponsored Guest Sales.
- Ensure professional receipt of all membership income, through cash sales, credit card sales, or online transactions are compliant with established cash handling policies and procedures.
- Ensure efficient membership registration processes are maintained.
- Coordinate outreach and promotion focused on Faculty/Staff/Alumni Recreation Center memberships.
- Utilize appropriate media to educate Recreation Center Members and campus community participants regarding ASI Recreational Sports.
- Understand and effectively communicate mandatory student fee structures.
- Ensure that members are appropriately informed of upcoming events, maintenance closures, facility improvements etc.
- Oversee the Equipment Check-Out program for members, ensuring that all equipment is in proper condition and is inventoried daily. Includes tracking of late and lost equipment
- Manage the Lost and Found tracking and disposal.
- Respond directly to participant/customer concerns and challenges.
- Oversee programming for the Recreation Center with a focus on the areas of fitness and wellness for the ASI Recreational Sports department.
- Evaluate trends and assist with implementing proper group and instructional-related fitness classes.
- Ensure development and evaluation of student recreational activities and programs for areas such as, fitness, intramurals, aquatics, outdoor education, membership, and safety.
- Serve as the liaison to ASI Information Technology, Accounting, and Human Resources for all business needs.
- Assist with the development of marketing and promotional campaigns.
- Advise student leaders, employees, and organization on all programming matters.
- Support the promotion of other ASI, Student Service, recreation, fitness, wellness, and activities on campus as appropriate.
Leadership and Student Development
- Assist with the vision and implementation of a student development training model for the department.
- Develop, conduct and assess student staff training and development programs for areas of responsibility.
- Coordinate training sessions with appropriate colleague(s)
- Develop, conduct, and assess student staff training and development programs.
- Motivate and guide both professional and student staff leaders in constructive and productive activities aligned with organizational goals.
- Identify and collaborate with appropriate campus departments and clubs to promote recreational, fitness, and wellness programs.
Technology Operations
- Serve as the ASI Fusion Champion for the Fusion Innosoft software system.
- Manage program sales, membership sales, online sales, membership management, course modifications, booking reservation system, configure system settings to establish quarter and year settings, configure settings for annual waiver settings, and barcode entry with the Fusion Go app.
- Oversee and coordinate eligible membership access to the Recreation Center.
- Implement an effective educational campaign for the annual Recreation Center account setup process for incoming first-year and transfer students, as well as new Cal Poly employees.
- Monitor the Recreational Sports/Recreation Center website, ensuring all information is accurate, consistent with ASI brand, and communicated effectively.
Assessment
- Develop and execute assessment of programs and/or services for areas of responsibility including, but not limited to, setting, and implementing goals, evaluating outcomes, and ongoing program enhancement.
- Participate in the overall ASI assessment planning and goal setting.
NOTE: Some assignment areas for Assistant Directors are fluid and periodically reviewed and revised based on program philosophy, professional development, and staff needs.
Other Duties and Responsibilities
- Represent ASI on committees as appropriate.
- This position is part of a team of ASI essential personnel required to report to their designated work location on campus as soon as practicable during an emergency or when the University has suspended operations.
- The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
- Other duties as assigned.
