Executive Assistant to the Chief Marketing Officer - Remote | WFH
Compensation: $61,000 - $70,000 per year About the Role We are seeking a highly organized and proactive Executive Assistant to support our Chief Marketing Officer (CMO) in achieving key marketing and development objectives. This role is perfect for a detail-oriented professional who thrives in a dynamic environment, enjoys managing multiple priorities, and takes initiative to ensure smooth day-to-day operations. As the Executive Assistant, you will play a vital role in supporting the CMO, acting as a liaison between departments, coordinating meetings, managing schedules, and ensuring efficient administrative operations. Key Responsibilities Provide high-level administrative support to the CMO, ensuring efficiency and organization.
Manage calendars, schedules, and contact lists to facilitate seamless operations.
Handle correspondence, emails, and phone calls, drafting responses and prioritizing key communications.
Arrange travel plans, accommodations, and itineraries for the CMO.
Prepare and track monthly expense reports and process approvals.
Maintain budgets and expense approvals for the CMO's department.
Assist in editing speeches, creating presentations, and preparing meeting materials.
Attend meetings on behalf of the CMO, taking detailed notes and tracking action items.
Coordinate and host meetings both in-person and offsite, including logistics such as catering, room setup, and materials.
Act as a liaison for special guests and stakeholders, ensuring a positive and professional experience.
Assist in project management tasks using Asana or other collaboration tools.
Work cross-functionally with teams in operations, development, and other departments to support marketing initiatives.
Help maintain the appearance of the Marketing and Development offices, including conference rooms and shared spaces.
Partner with other Executive Assistants on projects and provide coverage when needed.
Maintain organized physical and digital files for the marketing team.
Perform additional administrative tasks as assigned to support the team. Who You Are Experienced: 5+ years as an Executive Assistant supporting senior leadership.
Organized & Detail-Oriented: Ability to prioritize multiple tasks, manage deadlines, and maintain structure.
Proactive & Self-Motivated: A self-starter who anticipates needs and takes initiative.
Strong Communicator: Excellent written and verbal communication skills with a professional and personable approach.
Tech-Savvy: Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and familiar with project management tools.
Team Player: Works well with others, fosters strong relationships, and thrives in a collaborative environment.
Discreet & Professional: Able to handle sensitive information with confidentiality.
Flexible & Adaptable: Comfortable with shifting priorities and a dynamic work environment.
Bachelor's degree preferred (or equivalent relevant experience). What We Offer Competitive salary ($61,000 - $70,000 per year).
