Executive Assistant to Vice President
General:
Manage active executive calendar and reminders
Create travel plans, itineraries, agendas
Coordinate effectively with internal and external stakeholders
Keep VP well-informed of upcoming commitments and responsibilities
Maintain/update all of this department’s SOPs
Maintain official corporate records for multiple entities
Errands as necessary
Office Manager:
Maintain office supplies and upkeep
Oversee office cleaning and repairs
Maintain office décor, carpet cleaning, trash removal, as necessary
Track use of company vehicle reservations
Keep vehicles clean, serviced, maintained and fueled
Accounting Duties:
Reconcile credit card statements for Vice President
Submit company 401(k) payroll deductions to Fidelity Investments
Maintain 401(k) enrollment, changes, and administrative deadlines
Use Quickbooks to enter and pay bills, and print checks
Recruiting:
Support all Managers in the hiring of all office positions using Team Engine
Liaison with professional Recruiters when contracted
Screen applicants and forward to appropriate department manager
Drive the pace of the recruiting workflow, assessments, interviews, etc.
Prepare onboarding schedule and information for new hires
Abilities:
Must demonstrate sound judgement and discretion
Must be a self-directed, continual learner who can prioritize
Must be able to keep up and adapt to changing organizational needs
Must be able to manage effective relationships, inspire respect, and diplomacy
Organization, time-management and problem-solving are indispensable
