Position Summary

The position is responsible for developing, planning, directing, implementing, and overseeing human resources policies and activities such as recruitment, hiring, training, performance evaluation, labor relations, relocations, and employee services in the United States.

Responsible for all aspects of administering the payroll program, monitoring timecards, time off, deductions, employee pay records, and journal entries. Processes payroll on a bi-weekly basis. The incumbent is expected to work closely with the Accounting Manager to ensure new employee records are accurately set up with correct pay rates, withholding rates, and deductions. The position will ensure participation takes effect as the employee becomes eligible after hiring. Prepare, enter, and reconcile general ledger journal entries after each payroll is processed. Prepare various reports for Human Resources, management, benefits administrators, 401k administrators, and employees as needed.

Essential Duties and Responsibilities

Compensation & Benefits

· Communication with managers to approve timecards, missed punches, meal penalties, time-off requests, and absences due to sickness, vacation, or holidays

· Serve as a liaison with sister company's Benefits team and provide overviews to new hires

· Ensure employee records are updated for changes in withholding exemptions and deductions

· Enter additional information as necessary when preparing payroll for commissions, etc.

· Prepare and review the pre-process payroll register to ensure payroll is submitted accurately before approved by the manager

· Once approved, submit payroll in a timely manner to ensure payroll is delivered to employees on the designated pay date

· Prepare and print necessary reports for each payroll period including payroll register, payroll summary, deductions reports, accrual reports, and various other reports

· Deliver checks and direct deposit pay stubs to all employees on each pay date

· Prepare journal entries for payroll, payroll taxes, garnishments, or other withholdings as well as accruals and reversals to accurately reflect payroll activities in the correct fiscal period

· Prepare and validate 401k contributions, employer matching, retirement supplements, and correct payment application and submittal to the 401k administrator

· Prepare and submit reports to the benefits administrator for payroll to ensure accurate participation and billing of 401k, FSA/Dependent Care, medical, dental, vision, and voluntary deductions

· Monitor and maintain accurate records for the Personal Use of Company Car (PUCC) program for company vehicles including annual and ongoing updating of Vehicle Lease Values and associated payroll deductions

· Prepare and review reports for vacation accrual and submit them to the manager after each payroll period

· Maintain Excel spreadsheets to ensure the accuracy of the PUCC program, employee advances, and expatriate relocation advances and ensure they tie to the general ledger

· Maintain employee payroll records to accurately reflect pay rates, federal and state withholding rates, deductions, and when employees become eligible to participate in the 401k, retirement supplement, vacation, and sick pay (Including management of leave absence)

· Ensure sales commissions are correct and included in the mid-month pay cycle

· Prepare out-of-cycle manual termination checks when necessary and ensure information is accurately reported to the payroll company and entered in the general ledger

· Prepare payroll reports as needed for management, government agencies, and employees as needed

· Manage the leave of absence program after a claim is filed

· Other duties as assigned by Subsidiary Manager

Recruiting, Employee Relations & Employee and Development

· Manage the presentation, selection, offer, negotiation, closing, and administrative components involved in the full lifecycle of recruiting (including mobility and visa management as necessary)

· Evaluate employment qualifications (job experience, knowledge, skills, abilities, education, and training)

· Write, review, and post s and other advertising relating to recruiting

· Identify, screen, and interview candidates while interfacing with the hiring manager to assess their needs throughout the recruitment process

· Support the Internship Programs with recruitment and intern engagement

· Handle mobility of incoming candidates and manage the work visa process to help support our multicultural and global workforce.

· Review and monitor recruiting, mobility, and visa needs to mitigate risk

· Work collaboratively with client group managers to bring resolution and implement training to improve processes and soft skills

· Handle employee relations, and investigations from start to finish - ensuring employee privacy where appropriate, including confidentiality and protection of sensitive information

· Partner with managers for employee relations issues including coaching, corrective action, conflict resolution, performance management, and other support

· Provide strong customer experience by communicating openly and with empathy to inform and de-escalate difficult situations

· Partner with the company's General Counsel and outside employment attorneys to ensure US compliance with policies and regulations as needed

· Work on special projects as assigned

· Coordinate the performance appraisal process and ensure evaluations are completed

· Develop and implement training and development initiatives to address current capabilities and future training needs including on-the-job operational training, department special training, management development, new hire orientation, and onboarding

· Ensure that the company's compensation system is compliant with current regulations

· Direct a process of organizational development that addresses issues such as succession planning, workforce development, key employee retention, organization design, workflow efficiency, and change management

· Learn best practices from other subsidiaries within the company and support development efforts as needed by identifying gaps within the local processes and leading improvement projects to raise the level of HR local practices, processes, and procedures

Qualifications

· Bachelor's Degree in a related field

· 2 years' experience in payroll preferred

· Basic office environment experience (phones, copying, faxing, filing, etc.)

· Computer skills (MS Office Suite, Internet, E-mail)

· 2 years' payroll software experience

· Spanish language skills a plus

Job Type: Full-time

Pay: $67,000.00 - $80,000.00 per year
