Sales Administrator
Job Summary
We are seeking a detail-oriented Sales Administrator for a direct hire opportunity in Irvine, CA. This role is ideal for an administrative support professional with hands-on experience supporting Sales Representatives or Account Executives, preparing quotes, entering customer orders, and coordinating order follow-up through an ERP or CRM system. The Sales Administrator will play a key role in keeping sales operations accurate, organized, and responsive. This position works closely with Sales, customers, and internal operations teams to ensure orders, quotes, return authorizations, and customer requests are handled efficiently and correctly. Key Responsibilities - Process customer orders accurately in NetSuite, review purchase orders for completeness, acknowledge orders, and communicate ship dates to customers.- Prepare and assist with customer quotes, revisions, and follow-up while ensuring product, quantity, and specification details are interpreted correctly.
- Monitor order status, provide backorder ETAs and tracking information, and proactively coordinate updates with customers and internal teams.
- Process customer Return Authorization requests after internal approval and ensure clear communication throughout the return process.
- Maintain customer and contact records, support account updates, assist with customer research, and provide general administrative support to assigned sales representatives.
- Use NetSuite, Outlook, Teams, Excel, and approved AI tools such as Claude to organize information, draft communications, support workflow efficiency, and verify accuracy. Compensation and Benefits - Salary range: $60,000 to $68,000 per year.

Required Qualifications and Skills
- Support assigned Sales Representatives or Account Executives with order processing, quoting, account updates, and customer communication.- Enter, review, and manage customer orders in an ERP or CRM system with a high degree of accuracy.
- Prepare or assist with customer quotes and follow up on quote revisions, clarifications, and order-related requests.
- Coordinate with customers, Sales, and internal teams to resolve order issues and provide timely updates. - 3 to 5 years of experience in sales administration, sales support, order processing, customer service, or a related administrative support role.
- Hands-on experience reviewing customer purchase orders for accuracy, completeness, pricing, quantities, and specifications.
- Strong Excel skills, including formulas, sorting and filtering, pivot tables, lookups, and working with structured data.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Experience using ERP or CRM systems for order entry, customer records, order tracking, or sales support activity.
- Strong written and verbal communication skills with the ability to communicate clearly, professionally, and courteously with customers and internal teams.
- High attention to detail, strong organizational skills, and the ability to manage multiple priorities in a deadline-driven environment.
- Comfortable asking clarifying questions, verifying information, and maintaining a deliberate approach to minimize errors and rework.
- Ability to learn and use approved AI-assisted tools responsibly to improve organization, communication, and workflow efficiency. Preferred Qualifications - Experience using NetSuite for order entry, customer records, account updates, or sales administration.
- Experience supporting multiple Sales Representatives or Account Executives in a sales operations or customer-facing administrative role.
- Familiarity with preparing customer quotes, interpreting product requests, and working with product specifications.
- Experience using Claude or similar AI tools to support drafting, research, organization, and workflow improvement.
