Job Title: Travel & Events Assistant (Temporary, Part-Time)

Schedule: Not to exceed 29 hours per week
Hourly Rate: $23.00 per hour

Position Summary
The Temporary Part-Time Travel & Events Assistant supports the Travel & Events Department with administrative and logistical tasks related to staff and member travel, meetings, and events. This role is designed to provide supplemental support during periods of increased workload and operates under the direction of the Travel & Events Manager.

This is a temporary, part-time position and does not carry decision-making authority over travel or event planning.

Key Responsibilities

  • Assist with coordinating travel arrangements including flights, hotels, and ground transportation.
  • Support conference and meeting logistics, including venue coordination, catering, and audiovisual needs if needed.
  • Help track travel requests and maintain organized records and documentation.
  • Provide administrative support for travel authorizations and reimbursements.
  • Communicate with staff to gather required travel or event details.
  • Assist with day-of coordination for meetings or events as needed.
  • Perform other support tasks as assigned by the Travel & Events Manager.

Scope & Reporting Structure

  • Reports directly to the Travel & Events Manager
  • Provides support to the department as a whole, not to individual staff members
  • Does not supervise other employees
  • Does not make independent decisions regarding travel bookings, vendor selection, or contract agreements

Qualifications

  • Prior administrative or coordination experience preferred
  • Strong organizational and communication skills
  • Ability to manage multiple tasks with attention to detail
  • Proficiency in Microsoft Office
  • Ability to maintain professionalism and confidentiality

Work Environment

  • Fast-paced environment with multiple concurrent projects
  • Collaborative team setting with clear departmental processes
  • May involve occasional extended hours during peak travel or event periods

Requirements:

  • Must possess a valid California driver’s license, auto insurance that covers business driving, and an automobile for business use.
  • Willingness to work long and irregular hours, often including nights and weekends

Additional Specifics:

  • No employee benefits or medical insurance
  • Workday not-to-exceed 29 hours per week or 8 hours per day
  • Reports to Member Outreach Manager or the Regional Manager
